Automating the refund calculation and processing of store-credit. i.e. return fees, return deductions, trigger based refunds.

Auto-refund allows retailers to create automatic return actions based on refund rules which will be executed on the data that matches the rules retailers define. This feature makes the return process free of any manual steps.

Note: Refund rules are set by yayloh support team. To set it up, you need to reach out to us via support@yayloh.com. yayloh will set it up on your back end.



Automation of refund processing

This feature enables the automation of the process of issuing refunds when a customer requests it. This automation eliminates the need for any manual steps in the process of issuing refunds. The automation criteria can be set up based on specific trigger events.

Available store-credit automation trigger event:

  • Any return shipping status like: "in-transit" or "received"

  • On ‘inspection status - OK’

Refund automation process

  1. The system checks return requests every 6 hours to see if they meet the criteria.

  2. If they qualify, they're added to a queue and processed. The total refund value is calculated based on the suggested amount from the OMS along with any custom rule configured.

  3. If a refund fails, you can find the request in the 'in-progress' tab and handle them manually.

Keep track of all your automated refunds

Review your recent Refunds and store-credit via the Refund transaction report on the yayloh dashboard. You can filter by transaction date.

Automation of the Refund value calculation

By default, the refund value in yayloh is suggested by your OMS (Shopify / Centra / Woocommerce). Many brands deduct a small fees from this value in case of refunds.

We can set up automated calculations directly in our system that calculate the correct refund value with the selected deductions, tailored to your specific needs. You can always overwrite the suggested amount until it does not exceed the order value.

Common refund calculation rules are as follows:

  1. Deductions based on countries. e.g. for French refunds deduct 4 EUR and for Sweden deduct 40 SEK.

  2. Partial refunds vs full order refunds. For full order refunds refund shipping cost.

  3. Sale items special refund fee deductions.

  4. VIP customers are not charged a refund fee.

Both refund automation and refund calculation rules can be configured by defining a VIP customer segments of your choice. You can define your VIP customer segment based on different criteria’s listed here.

Automation of refund on exchange order

Exchange orders are linked to the original order in the system, and refunds are processed against the original order. For users who already use automation, the process is also automated. Important: This feature is an opt-in retailer level setting and does not turn on automatically. You can enable it from the Settings > Exchanges.
