Use smart lists for a quick overview

What are smart lists and how to use them

Smart lists are conditional views that represent a core concept of Mission Control. By selecting conditions according to your needs, you can create lists that visualise what's important for you.

Once created, lists are automatically updated and synchronised using the data in your Zaikio Platform workspace. This means you will always see real-time information on your print shop in your lists. The data for this comes from various sources like your MIS, machines, and our iPad app for shop data collection.

For example, by creating a list whose condition is to display all jobs due this week, this list will display all your print shop jobs which, well, have to be completed this week. If new jobs are added to the platform with need to be ready this week, they will automatically appear in this list. In each new week, the list will be automatically updated to only show those jobs that are due in that week.

In the following chapters, we explain how to create, edit and delete a smart list. You can create lists for jobs, work steps and orders. While there are specific sets of conditions for jobs, work steps and orders, the mechanism is the same.


Create a smart list

To create a new list, click on the button New list.

Enter a descriptive name and select who can view the list โ€“ everyone in the organisation or just you. Note that personal lists apply to all organisations if you are a member of more than one organisation. To continue creating the list, click 'Next'.

Define the conditions for your list in the next step. You may decide to use a single one or a combination of conditions. To then save and create your list, click 'Create list'.


Edit a smart list

Click on the three-dot menu for a given list to be able to duplicate, edit or delete it. In editing mode, you can change the name or add and remove conditions to change the scope of the list. Click on Update list to apply your changes and immediately see the updated list.

As the editing mode does not allow changing the visibility of a list, clone the list instead using the duplicate option, and set the desired visibility accordingly.
