How to create workflows

Streamline your scheduling processes with smart reminders, follow-up, or survey emails.

Workflows in Zeeg enable you to automate communication and follow-up actions with your appointment participants. You can send reminders, follow ups, surveys, or create custom workflows to enhance your booking experience, keep it consistent, and strengthen customer relationships, while reducing your admin workload.

Steps to Create a Workflow

1. Navigate to the Workflows section on the left side of your Zeeg dashboard, and click + Create workflow

2. Choose from the available templates for how you want to proceed. You can:

  • Send a reminder

  • Send a thank you email

  • Send a survey

  • Or customize your workflow from scratch

3. Configure your workflow

  • Give your workflow a descriptive name

  • Choose which user the workflow should belong to

  • Determine which event pages the workflow should apply to. You can select one or multiple event pages.

  • Choose a trigger for when the workflow should happen: you'll see a dropdown list with several options, like: upon booking, before appointment, after appointment, upon cancellation, etc.

  • Activate your preferred actions:

    • Send email to invitee (you can use variables to personalize the emails)

    • Send email to host - for example, if you want to be reminded o certain events

    • Send SMS to invitee - better for short-term reminders

    • Send SMS to host - ideal for important appointment updates

For SMS sending, you need SMS credits. If not yet available, a corresponding notice will be displayed with a link to contact support.

Configuring Workflow Messages

When you activate an email or SMS action, you can configure it in detail.

Email Configuration

Template Selection

  • Choose from pre-built templates or create custom messages

  • Saves time with frequently used messages

Subject

  • Define a meaningful subject for your email

  • Use the "Insert Variable" function for personalization

Text

  • Compose the main content of your message

  • Use formatting options (Bold, Italic, Underlined, Lists)

  • Insert links and additional variables

Variables are placeholders for your appointment details. For example, if you choose the "Appointment Name" variable in the subject, it will automatically be replaced with the name of the appointment this workflow is assigned to.

Advanced Options

Include Cancellation and Rescheduling Links

  • Enable this option to automatically insert links for canceling or rescheduling appointments

  • Gives participants more flexibility and reduces your administrative workload

Using Variables

Use variables to personalize your messages, like:

  • Participant Name: Personal addressing

  • Appointment Time: Automatic insertion of booking time

  • Appointment Type: Type of booked service

  • Organizer Name: Your name or your team's name

Managing Workflows

After creation, you can:

  • Edit and customize your workflows

  • Deactivate or activate them

  • Copy for similar use cases

  • Delete when no longer needed
