The "max events per host" feature allows you to set daily and weekly booking limits for individual hosts in round-robin scheduling pages. When a host reaches their defined limit, Zeeg automatically excludes them from the round-robin selection pool, ensuring fair workload distribution and preventing any team member from being overbooked. This is particularly useful for managing team capacity and balancing appointments across multiple team members.
Available on Business Plan and above: The max events per host feature is available starting with the Business plan, as it requires round-robin scheduling functionality.
Setting up event limits per host
Follow these steps to configure maximum events per host for your round-robin scheduling page:
1. Go to Scheduling pages in your Zeeg dashboard and select the round-robin scheduling page you want to adjust.
2. Once you're in Edit mode, click on Advanced in the left sidebar navigation.
3. Locate the Max events per host section and activate the toggle to enable event limits for your hosts.
4. Set your daily and weekly limits
Daily limit: Set the maximum number of round-robin events a host can have scheduled in a single day
Weekly limit: Set the maximum number of round-robin events a host can have scheduled in a week
You can set either one limit or both, depending on your team's needs.
How Round-Robin limits per host work
Once you've set event limits:
Zeeg continuously monitors each host's scheduled appointments
When a host reaches their daily or weekly limit, they are automatically excluded from the round-robin selection pool
Only hosts who haven't reached their limits will be offered to new invitees
Limits reset automatically at the start of each new day (for daily limits) or week (for weekly limits)
Events scheduled before enabling limits still count toward the total limit.
Best practices
Balance your team's capacity:
Set limits based on each team member's actual availability and workload capacity. If your team members have different capacities, consider creating separate round-robin scheduling pages with appropriate limits for each group.
Consider meeting duration:
Factor in your meeting duration when setting limits. For example, if your meetings are 1 hour long and you set a daily limit of 8 events, ensure your hosts actually have 8 hours of availability.
Monitor and adjust:
Review your team's booking patterns regularly and adjust limits as needed to maintain optimal distribution and prevent bottlenecks.
Combine with other settings:
Use event limits alongside other scheduling features like buffers and availability settings for comprehensive schedule management.
Communicate with your team:
Make sure all team members understand the limits and how they affect their scheduling
Troubleshooting
No time slots showing for invitees
If invitees see no available times, check if all hosts have reached their limits. Review your daily and weekly limits and consider increasing them or adding more hosts to the round-robin. You can also check if your hosts have sufficient availability configured for the period invitees are trying to book.
Uneven distribution despite limits
If bookings still seem uneven, verify that all hosts have similar availability settings configured. Hosts with more available hours will naturally receive more bookings even with the same limits. Ensure all team members have comparable availability windows to achieve balanced distribution.
Limits not applying correctly
If limits don't seem to be working as expected, confirm that:
The toggle for max events per host is enabled
You've saved your changes after setting the limits
The scheduling page type is set to round-robin (this feature doesn't work with other scheduling types)
Past events counting toward limit
All scheduled events—including those booked before you enabled limits—count toward the current daily and weekly totals. If you need a fresh start, you may need to adjust your limits temporarily or reschedule appointments to balance the load.
Frequently asked questions
What happens when all hosts reach their limits?
When all hosts in a round-robin reach their configured limits, no available time slots will be shown to invitees for that period. Consider setting up email notifications to alert your team when capacity is reached.
Can I set different limits for different hosts?
Currently, the max events per host setting applies equally to all hosts in a round-robin scheduling page. If you need different limits for different team members, create separate round-robin scheduling pages with appropriate limits.
Do cancelled events count toward the limit?
No, cancelled events do not count toward the host's limit. Only confirmed, scheduled events are counted.
When do the limits reset?
Daily limits reset at midnight in your configured time zone. Weekly limits reset at the start of each week (typically Monday at midnight).
Can I use this feature with collective scheduling pages?
No, the max events per host feature is exclusive to round-robin scheduling pages. Collective scheduling pages do not support individual host limits.
