Using the Zeplyn Notetaker

This is a showing how a user would use the notetaker function for video meetings.

Send the Notetaker to your video meeting

If you do not see the meeting in your Advisor Hub:

  1. Click "Create" in the upper righthand corner.

  2. Add the names of all the attendees in the meeting.

  3. Select the appropriate meeting type and toggle to Use Notetaker.

  4. Take verbal consent from your clients and check the “Consent Received” box.

  5. Make sure your meeting link is in the dialog box.

  6. Click on Send Notetaker

The Notetaker will show up in your meeting waiting room for the host to allow into the meeting.

It will be disabled for a brief period, but you will then see the notetaker image flip to enabled.

💡 If there is a one-off situation where notetaker fails to get sent - you see the Notetaker appear in the participant list in your video software but the the image (Enabled) doesn't show up, please expel the notetaker manually, and resend it from Zeplyn.

The notetaker will automatically enable, and an audio disclaimer “Notetaking started” will be played informing everyone in the meeting that Zeplyn is taking notes.

💡 If a participant joins late, we recommend pausing the note-taker by clicking the Stop Notetaking button in Zeplyn, re-taking the consent from the new participant, and then resuming note-taking by clicking on the Start Notetaking button in Zeplyn.

💡 If using Zoom, the setting “Record to computer files”, "Internal meeting participants", and "External meeting participants" must be turned on by the HOST of the meeting or the notetaker will not be able to take notes. This setting is accessed at https://zoom.us/profile/setting?tab=recording

Once the meeting ends, the note will immediately start processing. If you need the notetaker to leave before the end of the meeting click "Leave Meeting" from within the Zeplyn platform.

The note will be generated in real-time (typically within 1 minute). Once generated, you can view the note by clicking on the meeting in the left pane.
