How to Set Your Availability in Zoee

Protect your time and streamline bookings with Zoee’s upgraded availability tools.

Your scheduling just got a major upgrade! With Zoee’s Availability settings, you now have full control over your calendar — from blocking off vacation time to creating custom rules for specific services. This guide walks you through everything step by step.

1. Calendar Settings Overview

From your Zoee navigation bar, head to Calendar Settings.


Here you’ll see three main areas:

  • Connected Accounts – Sync your external calendars so Zoee never double-books you.

  • Out of Office Hours – Protect your breaks, vacations, and personal days.

  • Availability Hours – Create flexible availability rules for your services.

2. Out of Office Hours

Sometimes you just need to be unavailable — and Zoee makes it easy.

How to set Out of Office time:

  1. Click Add Out of Office.

  2. Choose your start and end date (or mark it as “All Day”).

  3. Save.

Zoee will now automatically block client bookings during this period. You can edit or remove this anytime.

3. Availability Hours

This is where the real flexibility comes in. Instead of one generic schedule, you can create multiple availability rules.

Create a New Availability

  1. Click + Add Availability.

  2. Name your availability (e.g., Consultations, VIP Clients, Group Sessions).

  3. Adjust settings:

    • Timezone – Confirm or change your timezone.

    • Buffer Windows – Add prep/follow-up time before and after each session.

    • Minimum Booking Notice – Require a minimum lead time (e.g., 3 hours).

    • Cancellation Notice Decide how much notice a client must give before canceling.

  4. Connect Services – Attach the availability to specific services. Clients booking that service will only see times within this rule.

Working Hours

Set your actual schedule for each day:

  • Click on a day and enter start/end times.

  • Add multiple time ranges per day if needed.

  • Use Copy times to all to quickly duplicate your hours.

👉 Example: You could offer sessions Mon–Fri from 9–5, but create a special availability rule for Consultations only on Tuesdays.

Session Format

Choose how you meet:

  • Zoee Video Call (available now)

  • In-Person (coming soon)

  • Phone Call (coming soon)

Clients will see this when booking, so they know exactly how to join.

4. Managing Your Availability Rules

From the main Availability Hours dashboard, you can:

  • View/Edit – Open settings and update your rule.

  • Duplicate – Copy a rule to tweak for another service.

  • Delete – Remove an availability completely.

  • On/Off Toggle – Temporarily pause a rule without deleting it.

⚡ Bonus: If you remove a service from a custom rule, Zoee automatically attaches it back to your Default Availability so you’re never left uncovered.

5. Best Practices & Tips

  • Use multiple rules: Create one for general sessions and another for specialized services.

  • Add buffers: Give yourself 15–30 minutes between calls for notes and prep.

  • Plan vacations early: Set Out of Office dates ahead of time so clients can only book around them.

  • Stay flexible: Update your hours anytime your schedule changes — clients only ever see what you’ve set.
