Offline People Sync: Managing People data while offline

Keeping the children and staff in your care safe also means keeping their information safe. The 1Place app strengthens how personal information is protected on your team’s devices.

By default, People data is no longer stored on devices and is unavailable while offline. If your team needs to select people while working without an internet connection, Offline People Sync can be enabled to make first and last names available offline. Other People details, such as date of birth, parent names and gender, are not stored for offline use.


What is Offline People Sync?

Offline People Sync is an optional setting that determines what People information your team can access while working offline.

When enabled, first and last names remain available through the People field, while your team’s existing offline functionality continues to work as usual. The setting is managed at the organisation level and cannot be enabled by individual educators.


What happens if Offline People Sync is off?

Offline People Sync is off by default. This means People data is not stored on the device for offline use, helping to keep children’s information safe when devices are used without an internet connection.

When an educator is working offline:

  • The People field will not retrieve People data.

  • Records can continue to be saved to Drafts.

  • Once the device reconnects, the People field will work as normal.

This means People data is not stored on the device for offline use.


What happens if Offline People Sync is on?

When Offline People Sync is enabled:

  • Educators can continue using the People field while offline.

  • Only first and last names are available.

  • Other People details, such as date of birth, parent names and gender, are not stored for offline use.

  • If an educator reconnects while still working on a record started offline, a Reload option will appear to load the latest People data.

  • If they reopen the record later from Drafts, the latest People data will load automatically.


Should I enable Offline People Sync?

The main difference is what information your educators can access through the People field while offline:

How do I enable Offline People Sync?

Step 1: Confirm your approval

  • Because Offline People Sync stores first and last names within the 1Place app on your team’s devices, we will ask you to confirm in writing that you are authorised to approve the setting for your service.

  • If your organisation requires approval from head office, this should be confirmed before requesting the setting.

Step 2: Contact your CSM

  • Contact your Customer Success Manager (CSM) to request Offline People Sync for your organisation. When making the request, confirm which sites or teams need the setting enabled so your CSM can apply it to the appropriate areas.

Step 3: Your CSM enables the setting

  • Once your confirmation has been received, your CSM will enable Offline People Sync for your organisation.

Note:

There is no deadline to enable this setting. If you choose to leave Offline People Sync off, you can request to have it enabled at any time. You can also ask your CSM to turn it off if your requirements change.


How often does background syncing happen?

The app syncs data in the background once a week by default. Users can change the sync frequency to Daily under:

Settings → Sync data for offline

Initial sync after updating to version 1.92.0

The first time users open version 1.92.0, a one-time sync banner will appear. Users can select the banner to start the sync immediately, or the sync will begin automatically shortly after.


Device requirements

Devices must be running:

  • iOS 15 or later

  • Android 12 or later

  • App version is updated to v1.92.0

Devices running earlier versions will not have the offline feature available.

If your organisation manages devices through an MDM or device management system, your IT administrator can control when the app update is installed.
