Checklist Template Overview

Learn everything about creating and updating your Checklists, and the different Settings and options to complete Checklists.

On the Checklist Template screen you can do the following:

  • What's on the Checklist Template page? Learn how to navigate through the page in the article below:

  • Create a new Checklist Templates; please refer to the Articles about our Checklist Builder to learn how to create a new Template.

  • Update the Template Settings; by clicking on the Template Name you can update all existing Settings. More information about all Checklist Settings can be found in the following article:

  • Create new Versions or edit existing version of your Checklists; if you want to add / edit / remove questions in your Template, you'll need to create a new Version of your Template.

    In the Checklist Template Builder, you simply click on the Published Version of your Template, and your Draft is automatically created. You can then make the required changes, enter a new Version name or number, and 'Publish' your Version. This makes the new Version available to your Users. If you're not quite finished with your changes, please ensure you click 'Save' on a regular basis so you don't lose any of your work.

  • Schedule; If your Checklist needs to be completed on a recurring basis, you can create a Schedule so the Template pops up on the correct User's To-Do List. You can create different recurrences (EG daily / weekly / monthly etc) to meet your requirements. More information on creating Schedules can be found in the following article:

  • Surveys; By creating a Survey for your Checklist, you can get anyone to complete your 1Place Checklist without needing a login. For every Survey you create in 1Place, we'll provide you with a unique link (URL) and a QR-Code. Both options will open the Checklist in a browser tab, and this gives people the same experience as completing a Checklist via our Mobile App (please note: ticket pops will not work in Surveys). More information on creating Schedules can be found in the following article:

  • Copy; This option creates a copy of the Template, and should not be confused with copying a Version. Only use this 'Copy' function if you want to create a whole new Checklist Template based on an existing one.

  • Delete; You can only 'Delete' a Checklist Template if it hasn't been used yet. When a User has submitted the Checklist and you can find the result in the Checklist Register, you can't delete the Template anymore. In that case you can only 'Deactivate' the Template.

  • Deactivate; If you are no longer going to use a Template, you may chose to 'Deactivate' it. This means none of the Users will be able to complete the Template anymore moving forward. Please note: you can't report on 'Deactivated' Templates.

  • Print; This gives you a PDF version of the Templates and will list all questions, as well as all of the 'Rules' that have been added into the Template.
