Whether you need to add a new credit card, check your remaining budget, or download an invoice for your accounting team, you can manage your Swag Store finances directly from your dashboard.

Managing Your Payment Methods

To fund your Swag Store and ensure your employees can check out, you must have a valid payment method on file.

How to add or update a Credit Card:

  1. Navigate to the Payment tab in your Store Dashboard.

  2. Under the Customer Portal section, you will see your current billing information.

  3. Click Add payment method to input a new credit card, or click the pencil icon next to an existing card to update the expiration date or billing address.

(Note: If you need to update the primary billing email address on file to ensure your finance team receives updates, you can edit that here as well).


Viewing Your Budget & Prepaid Credit Totals

Curious how much your team is actually spending? You don't have to wait for an invoice to see your point distribution.

How to track your spending:

  1. Navigate to the Points tab in your Store Dashboard.

  2. At the top of the page, you will see your Total Credits Distributed. This shows the total amount of points you have given out to your employees.

  3. Next to that, you will see the Total Credits Redeemed. This shows exactly how many of those points your employees have actually spent on swag.

πŸ’‘ Important Note on Unspent Points: If an employee leaves the company and you remove them from your store, any unspent points in their wallet are immediately returned to your available budget to be used for future rewards!


Understanding Billing and Invoices

Snappy's Swag Store offers transparent, all-inclusive pricing. This means the point value you see on an item covers the product cost, worldwide shipping, handling, and taxes (DDP).

When are you billed? You are only billed when an item is actually ordered.

  • If you have a Point-Based Store: You are billed when an employee successfully checks out using their points.

  • If you have a Gift-Based Store: You are billed when an employee selects their specific gift.

  • If you place an Admin/Bulk Order: Your credit card is charged immediately upon placing the order.


How to Download Invoices & Receipts

If your accounting team needs documentation for reconciliation, you can easily download PDF invoices directly from the dashboard.

Downloading your monthly invoice:

  1. Navigate to the Payment tab in your Store Dashboard.

  2. Scroll down to the Customer Portal section.

  3. At the very bottom of the portal, you will see a list of your Invoice History.

  4. Click the download icon next to any invoice to generate a PDF version for your records.

Downloading detailed transaction reports: If you need a line-by-line breakdown of exactly who ordered what (and when), you can download a CSV report.

  1. Navigate to the Activity tab in your Store Dashboard.

  2. Click Export to download a comprehensive spreadsheet of all store transactions and point redemptions.
