Bulk updating Planned operations logs and status checks with Excel

How to update valve logs and status checks 'offline' with Excel and uploading later

When you are managing valve operations in the execution stages, with many lines of steps in one plan, you can now update individual logs and status checks via an Excel template (it can be stated as offline and/or in-line editing of valve operations).

Go to the Planner section

Find the relevant plan you want to update. Click into the plan and click on the 'Download plan details' button

The file will save in the local downloads folder with the name: VT - (specific plan name) - Plan Import

The Excel file contains 20 columns, some to be edited and some not:

Column A to E: Do NOT change

Column F: Operation - Drop down list

The available choices to change the operation type for the particular operation

Column G: Direction to operate - free text

Either Clockwise or CounterClockwise

Column H: Condition - free text

Write your condition for the specific line item operation

Column I: Order - Number field

Number the sequence you wish to see the line item operation in the updated plan in ValveTrack

Column J: Done - Drop down list

Drop down choice between True (the operation has been done) and False (the operation has not been done)

Column K: QC Name - free text

Insert the QC name

Column L: Time - Date

Insert the date and time

Column M & N: Operator & Worksite - free text

Insert the operator name and worksite

Column O & P: Initial & Final Position - Drop down list

Choose between Open, Partly Open and Closed

Column Q & R & S: Torque values & Actual turns - number field

Enter the torque data and number of turns to be uploaded

Column T: Comment - free text

Insert any comment you want to have uploaded

Click the 'Upload plan changes button' and choose your file to upload with the plan details

The system will run a validation check of the file. Any errors or updates will be visible in the preview window

Once the file is free of errors, if any, the 'Submit template' button becomes active / clickable. The plan details are now updated. Complete the plan, add the Checker and Approver names to the top of the plan to move it to 'Completed' status.

NB: All errors must be fixed or else the process will not be completed.
