Bulk updating and creation of new Plans and Planned Operations type

How to (bulk) update plans and planned operations in ValveTrack using Excel

You can follow these steps

Navigate to the Planner

Under Planned you find Import plans

Download the Excel template

Find the template in the local Download folder (NB: the name of the file will be VT - (field name) - Plans Import)

The Excel template contains all the plans that are currently in the 'Planned' stage in ValveTrack:

All rows with an existing GUID (column A) exists already. Title (column B) can be changed, but do not change the GUID as that will create a system error when uploading the template.

Create a new plan with a new row in the Excel template. Name the plan in Column B (Title).

Save the Excel file with the added/edited plans and click on the Upload template button

The system is running a validation check of the template. You can quickly see the legend letter in the first column what plans have been updated (U) or newly created (N).

Press Submit template and make sure the plan is correct in the Planned list

You can now add the different operation types in the plan in an additional step, via the same Excel template upload process as usual.

The Excel template contains all the planned operations that are currently in the 'Planned' stage in ValveTrack::

All rows with a GUID already exists in ValveTrack, and all attributes except Planned Operation ID [GUID] (Column A) can be changed. Please do not change Column A as this will throw an error during the template upload validation. NB: Some attributes are marked read-only and has a formula auto-populating the cells from the other tabs. Please do not change any of these columns during your edit.

Adding operation types with Excel

Go to the Plans tab in the Excel template. Find the relevant plan you want to add operations types to. Copy the Plan ID.

Go to the Planned Operations tab and paste the Plan ID in column B. Make sure that the number of new rows equal the number of operation types the plan will include.

Then go to the Valves tab in the Excel template. Find the relevant valves to be included in the plan. Copy the Valve Id(s).

Go back to the Planned operations tab and paste the Valve Ids in Column C. Now you have associated the relevant valves to the desired plan.

Go to the Operation types tab. Find and copy Operation Type ID depending on the planned operation for each valve.

Go back to the Planned operations tab and paste Operation Type ID in Column D.

Add the order for the different operations. You can have the order be 'random' in the sense that you don't have to go from 1 to 4 (in the below example). You could order the planned operations as 2 - 3 - 1 - 4 and it will be uploaded and shown in that sequence in ValveTrack.

Save the Excel file with added/edited plans and click on the Upload template button. The system will run a validation of the file. You can quickly see the legend letter in the first column what has been updated (U) or newly created (N).

Press Submit template and verify that the plan includes all the correct Planned operation types and in the correct sequence order. You can now also add specific conditions for any line item operation as relevant.
