How to compose text messages like a PRO with Event Caddy

Did tee time change due to weather conditions? Want to remind players when and where lunch will be served? Do all of this and more with Event Caddy’s text messaging tool exclusively available to PRO subscribers.

From the get-go, Event Caddy PRO gives you the ability to send 500 text messages. Each phone number you text counts as a message, so if this is your first time sending a text and you send it to 100 phone numbers it means you'll have 400 messages left. If you need to send more than 500 messages, no problem! You can purchase more credits, which will allow you to send more messages (check out how to buy more credits for details on how to do this).

Here's how to send texts like a PRO (pun intended!):

From the side navigation of your admin dashboard, select MARKETING TOOLS > Text Messaging n. On this screen you will see two tabs: Contact Groups and Send Text Messages.

  • Tab 1: Contact Groups > select this to build your own custom group to send texts to. By default, Event Caddy provides 2 contact groups - Paid Players and Unpaid Players so you can just use those if you like. Otherwise, from the 'Contact Groups' tab, select the 'New Contact Group' button.

    • On the next screen, you'll give this contact group a name and optional description. Then you can choose to include any players that have already registered (all players regardless of whether or not they have paid will appear here).

    • If you scroll beneath this table you have the ability to add external contacts to this group by selecting the 'Add new contact' button. For example, if you wanted to create a group just for volunteers that will be helping out the day of the event you would add each of the me here. Select the 'Add new contact' button for each external contact you want to add.

    • When you're done adding all players and/or external contacts to the group, select the 'Create Group' button located in the bottom right.

  • Tab 2: Send Text Message > Once you've created your optional contact group(s) it's time to compose and send your text message. Selecting the Send Text Message tab will take you to the text messaging wizard screen that will guide you through the entire process - from adding recipients to sending the message.

    • Step 1: Add Recipients > You can either choose to add an entire contact group (left panel) or you can use the panel on the right to manually add contacts one-by-one by starting to type their name to get a matching result. Once all your recipients have been added select 'Next' to continue.

    • Step 2: Confirm Recipients > This is where you'll review all the recipients you selected. You can remove any if needed at this stage. Once complete, select 'Next' to continue.

    • STEP 3: Compose & Send Message > This is where you'll compose the actual message to be sent to your recipients. The maximum characters that can be used in a text are 160. There is a character counter above the text input field to help you keep track. When you're done, select 'Send Text Message'. Don't worry, you'll have a chance to do a final preview of your message before it sends.

  • Final Step - Confirm and Send! > once you've selected 'Send Message' from step 3, you will see a pop up that looks similar to the one below. If everything looks as expected, select 'Send Text Message' to send it out to your chosen recipients. You'll then receive a confirmation window directly after this. Your text message will be sent to recipients usually within a few minutes. Now, you're a text messaging PRO!
