How do I keep track of payments for my tournament?

When it comes to tracking your payments, there are a few different ways to do this:

  1. Event Finances page

  2. Payment Transaction page

  3. Using your STRIPE dashboard (if you have Stripe linked as a payment gateway)


EVENT FINANCES
By selecting Finances & Commerce -> Event Finances from the side navigation you'll be able to see a financial snapshot of your tournament. This screen will allow you to quickly compare revenue vs. expenses.


PAYMENT TRANSACTIONS
Selecting Finances & Commerce -> Event Finances Transactions from the side navigation will allow you to see each transaction that has gone through your Event Caddy tournament site. You can even view each receipt individually and even export all transactions as a CSV file by selecting the 'Download as CSV' button located in the top right-hand corner of the screen.

STRIPE DASHBOARD (Credit Card Transactions)Login to your Stripe dashboard where you'll be able to issue refunds, track credit card payouts, pull detailed reports and much more.

Managing Payment Status for Registered Players

In Event Caddy, you may need to update the payment status of registered players, particularly when transitioning their status from 'Unpaid' to 'Paid'. Follow these steps to achieve this efficiently:

  1. Navigate to Finances & Commerce -> Event Transactions.

  2. Locate the specific transaction for the player whose payment status you want to update.

  3. Click the three-dot menu next to the transaction and select 'Mark as Paid'.

Optional: Issuing a Receipt

After marking a transaction as 'Paid', you can issue a receipt by selecting "Reissue Receipt" from the same three-dot menu. This extra step ensures players receive confirmation of their payments without any hassle.

  • Can I export my tournament's financial transactions from Event Caddy?
    Yes, you can export them as a spreadsheet (CSV) or a PDF file by navigating to Finances & Commerce -> Event Transactions and using the options at the top right.

  • How do I mark a check or cash transaction as paid?
    Under Finances & Commerce -> Event Transactions, there are 3 dots beside each transaction under the Actions column to the far right. Select this option and choose 'Mark as Paid'.
