How account and place notes automatically surface during Order creation so nothing important gets missed.

Popup Order Notes

Popup Order Notes ensure that important information stored against an account or delivery place is never missed when creating an Order. Notes appear automatically as a popup at the right moment, giving your team the option to review and copy them onto the Order before continuing.

How It Works

Notes are stored against Accounts and Places in the system. When you select an account or delivery place during Order creation, any relevant notes will pop up automatically so nothing important gets overlooked.

Adding Notes to an Account

  1. Navigate to Accounts and open or create the account

  2. Go to the Notes tab

You can add four types of notes depending on who needs to see them:

Internal Description

Staff only. Not visible on customer-facing documents

External Description

Appears on customer-facing documents

Transport Description

Instructions for the transport team

Warehouse Description

Instructions for the warehouse team

Adding Transport Notes to a Place

Transport notes can also be stored against a Place, such as a delivery site. These will appear when that place is selected as the delivery address on an Order.

  1. Navigate to Places and open or create the place

  2. Go to the Notes tab

  3. Add the relevant transport instructions and save

Notes in Action During Order Creation

Selecting an Account

When you select an account that has notes stored against it, a popup will appear displaying those notes. You can review them, confirm, and choose to copy them onto the Order.

Selecting a Delivery Place

When you select a delivery place that has transport notes, a popup will appear in the same way. You can review and copy the notes into the Order's transport details.

⭐ Quick Tip: When creating an Order directly from an Account, the system will also prompt you to carry over any notes already stored against that account.

Summary

Popup Order Notes remove the risk of important information being missed or having to be re-entered manually. By storing notes once at the account or place level, your whole team benefits every time a new Order is created.
