What are the benefits of this feature?

  • Seamless Charge Continuity: Original charges continue from where the previous item left off—no manual recalculations.

  • Automatic Accessory Transfer: Linked accessories move to the replacement item automatically, reducing errors.

  • Improved Tracking: Exchanges are logged as a new document type in the Movements tab for clear visibility.

  • Driver Assignment: You can assign exchanges to drivers just like deliveries or collections.


Swapping Rental Items Mid-Hire

Step 1: Select your Active Order

Step 2: Initiate the Exchange

  • Click on the new Exchange action available on the order.

  • Select the item to be replaced.

Step 3: Choose a Replacement Item

  • Pick a replacement from the same category or product group.

  • The system will carry over the original charge, starting from where the previous item left off.

Step 4: Automatic Accessory Transfer

  • Any accessories linked to the original item will automatically move to the replacement.

  • This ensures nothing is missed during collection or return.

Step 5: Review the Movement Document

  • A new Exchange document is created under the Movements tab.

  • You can:

    • Assign the exchange to a driver.

    • Confirm both movements (collection and delivery) by signing the exchange.

Step 6: Edit Book-In Details (If Needed)

  • Before confirming the exchange, go to the relevant movement document.

  • Make any necessary edits to book-in details.

Step 7: Confirm the Exchange

  • Once everything is reviewed and signed, confirm the exchange to finalize the process.
