How we keep your data secure

OnRent has been built with maximum security in mind, ensuring all data is safely protected in a server-based environment hosted in the cloud. We continuously maintain this to ensure you don’t have to worry about backups, viruses or losing data but equally to ensure your data is kept safe, at all times.

Our secure environment 

  • Every OnRent system has a unique subdomain and can only be accessed using valid login details

  • We’re hosted on Microsoft Azure's infrastructure, trusted by large corporate companies to keep data safe

  • Access to OnRent is via SSL technology only (i.e. HTTPS), establishing a secure connection between your device and OnRent

  • We use firewalls and other network access control mechanisms to prevent interference or access from outside intruders

  • Our infrastructure is configured to provide failure resilience

  • Our database is encrypted at rest, and all data backups are encrypted and securely stored

How you can keep your environment secure

Admin accounts and roles 

Use Roles to restrict what particular users can see and do in your OnRent system. You can stop certain users from editing information and viewing sensitive data. You can also restrict non-admin users from exporting data, further bolstering your data security.

Recent active sessions

Head to System Setup > Active Sessions to see account login activity including log in locations. You can also go to the user's profile or System Events to see the latest actions in their sessions. Keep in mind that the set location is an estimate based on internet technologies so it may not be 100% accurate, but it gives a good indicator of an accounts whereabouts.

Reset passwords

Force a password reset for your user accounts via System Setup > Users

Accounts that you reset the password for are automatically logged out and must follow the instructions in the password reset email to log in again.

How does this help?

If you suspect a data breach at your company, take immediate preventative action by resetting one or all of your user account passwords. Users will no longer be able to log in with their old passwords, meaning any unauthorised users will be locked out.

Password Policies 

A password policy is a set of rules designed to enhance computer security by encouraging users to employ strong passwords and use them properly. Head to System Setup > Password Policies to set up your business policies.
