View the items on orders and create dashboards & filters easily

The Order Items view, accessible from the left hand menu, lets you see those items that are currently on orders.

This powerful screen allows you to combine order and order item information to be able to access critical data in much more depth than just looking at the order level. This is great if you have multiple items on orders going out and coming back on different dates. The filters also allow you to create powerful dashboard views in order to manage your company workflow accurately.

This feature is available on the Pro Plus version, to upgrade head over to System Setup > Subscription.

If the menu is not available, you must first enable the menu option under your user roles:

Once enabled you'll see the menu option on the left hand side.

You can then see the Order Items view as shown above.

As with the other overview pages such as orders, customers etc you can apply filters.

You can also create views - there are 5 standard views that ship with OnRent but others can be created easily if you have the permission to do so.

You might, for example want to see a list of items allocated to active orders, where you need to remove them to free them up, or mark them as booked out, or to see items due for delivery before you have created a dispatch.

You can also see the return dates for items here. This date changes dynamically based on:

  • If the order is open ended, the return date will be set to Open Ended.

  • If the order is open ended but has an estimated return date, then this will show.

  • If the order is not open ended (eg a planned end date), then the order item collection date will show.

  • If the order has had a return request, then the return request date will show (which would be the date of a confirmed collection).

  • If the item has been booked in and it's returned then the return date will show.

If the item is a bulk item, note that if the total item quantity is fully returned it will show the return date, or if they haven't been returned or have been partially returned it will show the dates as per the above list.

You'll notice that 5 default views have been provided to you - you can also make your own.

These views are:

  • Items due for return that are not on a return request (items which have planned return dates that you have not been asked to collect yet).

  • Items due for return and on a return request (items which have been marked to collect).

  • Reserved items due for delivery (Items on orders that you have not yet been allocated and are waiting the item to be picked / assigned that are due for delivery).

  • Allocated items due for delivery (you have allocated the items to the orders and they are now ready to deliver).

  • Dispatched items due for delivery (items you have marked as dispatched but have not yet been delivered).

It's worth noting that views can be created using multiple criteria to look at the order item dates, item statuses and order statuses - for example if you wanted to create a view to see items that were due for collection in the past and today, you can combine the groups as shown below.

When ready, you can also publish them as a dashboard pod for certain roles. A new level of control and workflow is now open to your users! 🌟
