Automatic Item Numbering

Make adding new stock & assets a breeze with this great feature.

Using Auto Numbering, OnRent can assign item numbers when creating new serialized stock. We've also added the ability to create multiple serialised stock items at the same time with a single click.

To use Auto Numbering, you will need to enable the "Auto Number" privilege for your role. Once the privilege is enabled, you will be able to enable Auto Numbering within System Settings.

Then once that's done you'll see the Auto Number setting in System Setup.

Here you can then configure the settings around auto numbering based on your preference.

Global - This configuration allows you to choose an incrementing number that will be applied system wide when creating a serialised stock item. There are additional options to specify a Prefix and Separator to the Item Number generated along with a Number Length which will apply leading zeros to any number than does not fit the length. The Next Number gives an indication of the next number based on existing stock assets in the system that conform to the same format of Prefix and Number. If the system finds no assets that match the formating it will default to 1, but can be manually overridden allowing Assets to start at a specific number The separator will only ever be applied if a Prefix is set.

Product - This configuation allows for a separator to be applied along with a number length and will work in a similar manner to the Global option where the prefix becomes the Code against a Product. In this case the Next Number is derived at a Product Level and is visible from the Product Item screen. Just like the Global numbering setting the Next Number can be manually set or will be derived base on the existing Item Numbers for products

Here's an example of how it works. First off, when you've created a product you can assign it a code. The numbering at this stage is a manual process, but making the stock levels / assets within that product is much easier. Think of the Product as the main "group" for serialised items or the "template" for bulk items.

In this instance we've called the product code EXC07.

This process works differently depending on whether the product contains serialised items or bulk items. Here we will look at serialised.

Serialised Item Auto Numbering

When you add your serialised item, you'll see that the auto numbering toggle is present.

If you want to number an item manually, you can switch it off and enter one.

Enter the quantity in the box to the right to create up to 100 new items at once. You can also turn the switch off and still enter the item number manually.

It really is that easy to create multiple serialised items as the same time!

Bulk Item Auto Numbering

With bulk items, we suggest they are the same number as the product, in the instance you have one product with one bulk item level within it (potentially more than one line where you may have more than one depot).

So with auto numbering for bulk items, first create the product with the desired code (this is a manual process).

Then when you add the bulk item stock level, you'll see this number is set against the item number automatically, which you can change if you want to.
