Manage Invoices
Keep track of all your invoices from the Invoices page. Here you can view, edit, and manage the status of every invoice you send.
Invoice statuses
Draft Invoice has been created but not yet sent to the client.
Ready for payment Invoice has been sent and is ready for the client to pay.
Paid Invoice has been paid in full.
Overdue Invoice has passed its due date and has not been paid.
Voided Invoice has been cancelled and is no longer valid for payment.
How to manage invoices
Go to the Invoices page in the sidebar to see a list of all your invoices.
From here you can:
View an invoice click on any invoice to see the full details.
Edit a draft invoice click on a draft invoice to make changes before sending.
Download a PDF download of any invoice to send manually or for your records.
Send a reminder send a payment reminder to clients for overdue invoices.
Mark as paid manually mark an invoice as paid if you received payment outside of Acctual.
Delete draft invoices that you no longer need. You can delete individual invoices or batch delete multiple invoices at once.
Void an invoice ready for payment to cancel them. Voided invoices cannot be paid and remain in your records for audit purposes.
How to delete invoices
Individual delete:
Find the invoice you want to delete
Click the ... menu on the right side of the invoice
Select Delete
Confirm the deletion
Batch delete:
Select multiple invoices by clicking the checkbox next to each invoice
Click the "Delete" button that appears at the top
Confirm the deletion
Important: You can only delete draft invoices. Ready for payment invoices cannot be deleted - they must be voided instead.
How to void invoices
If an invoice is ready for payment (already sent to the client), you cannot delete it. Instead, you must void it.
Individual void:
Find the invoice you want to void
Click the ... menu on the right side of the invoice
Select "Void"
Confirm the void action
Batch void:
Select multiple ready for payment invoices by clicking the checkbox next to each invoice
Click the "Void" button that appears at the top
Confirm the void action
Voided invoices remain in your records but can no longer be paid. This maintains a clear audit trail.
Delete vs void
Delete:
Only for draft invoices
Removes the invoice completely
No record remains
Void:
For ready for payment
Marks invoice as cancelled
Invoice remains in records for audit trail
Client cannot pay a voided invoice
Frequently asked questions
Can I edit an invoice after it has been sent?
No. Once an invoice is sent, it cannot be edited. You can void the invoice and create a new one with the correct information.
Can I delete an invoice that has been sent?
No. You can only delete draft invoices. For sent invoices, you must void them instead to maintain an audit trail.
What happens when I void an invoice?
The invoice is marked as voided and can no longer be paid. It remains in your invoice list for record-keeping purposes. Your client will see that the invoice has been voided if they try to access it.
Can I undo a delete or void action?
No. Once an invoice is deleted or voided, the action cannot be undone. Make sure you want to proceed before confirming.
How do I handle a disputed invoice?
Void the disputed invoice and create a new invoice with the correct information. Contact your client to explain the changes.
Can I batch delete and batch void at the same time?
No. You can only batch delete draft invoices or batch void ready for payment invoices. You cannot mix these actions in a single batch operation.
