How To Automate Your Aftercare Forms

Learn how to automatically send aftercare forms to your patients after their appointment.

This article will talk you through how to set up your automated aftercare forms within ANS. You are able to automate all of your forms within the software but this article will focus on your aftercare forms.

By automating your aftercare, this takes an extra task away when the patient leaves clinic, this means you never have to forget to send your patients aftercare ever again.

Assigning Your Forms

The first thing you will need to do to automate your aftercare forms within ANS is link the aftercare forms you wish to be sent to your patients to your treatments.

Step 1 :

From the main menu, head to settings.

Step 2 :

From the settings page, head to the treatment settings area under the heading products.

Step 3 :

You will then need to click into the treatment category you are wishing to assign the aftercare forms to.

Step 4 :

Then into the specific treatment via the pencil icon.

Step 5 :

You will then need to head to the bottom of the treatment settings to find the form section. In this area you will need to select the aftercare form you wish to be sent.

You can also link your medical questionniare and consent forms in this section which will allow you to automate this as well.

Step 6 :

Once happy with the form selected, hit update.


Setting Up The Automation

Once you have linked your aftercare froms to your treatments. You can then turn on your form automation settings.

Step 7 :

Head back into settings via the side bar and head to the form automation settings, under the heading compliance.

Step 8 :

From here, you will be able to set how you would like the aftercare forms to be sent. You can either set them to scheduled, meaning the forms will go out at the hours you have set after the appointment. Alternatively, you can set them prior to appointment meaning they will be sent along side your consent and medical questionniares.

Step 9 :

Once happy with your settings, hit save.

Step 10 :

This will then set up your form automation for the aftercare. All you will need to do is make sure when an appointment is booked in the diary that the correct treatment is linked.


Sending Aftercare

If you have selected to schedule your aftercare to be sent to your patients after their appointment, you will just need to make sure you have triggered the message.

Step 11 :

From the main menu, click to enter the diary.

Step 12 :

You will then just need to click on the appointment either via the month view,

Step 13 :

Once you have clicked on the appointment, you will find 3 options for the status of the appointment. To trigger your aftercare forms to be sent you will need to select the arrived button.

Step 14 :

This will then trigger your email to be sent to your patients containing your aftercare forms.
