How To Manage Your Gift Vouchers

This article will talk you through how to set up and manage your gift vouchers within Aesthetic Nurse Software.

Gift vouchers within ANS can be purchased online or in person with the patient and can be customised for a specific expiry and the colours of your brand.

The first area of gift vouchers you will need to set up is the actual gift vouchers you would like patients to purchase within the software.

From the main menu, head to settings.

Once in settings, head to gift vouchers under the heading online booking.

This is where all your gift vouchers will be stored and also where you can find a list of voucher sales. But to add a new voucher, click new voucher.

You then just need to fill out the details of the voucher. First you will need to name the voucher.

After you have the total value, this is the value of the voucher for the patient to use on a treatment.

After you have the price, this is how much you are purchasing the voucher for.

You then have how long the voucher is active for after being purchased.

The quantity box is how many of these vouchers you would like to sell, if the voucher is unlimited keep a '0' in this section.

You can then link the clinic you would like the voucher to be available to use at and add a description for the voucher.

Once happy with your voucher details, click create voucher.

This will then add the new voucher to your list.

You then have the ability to turn on and off this voucher. This would be used for seasonal vouchers throughout the year.

You have the ability to edit the voucher at any stage.

You can also customise the voucher.

Once selected, you will be able to change the colour of each area of the voucher.

You can also delete a voucher if this is no longer needed within your clinic.

You can also view your voucher sales within this section.

This will show you the list of vouchers which have currently been sold and if they were purchased in clinic or online.

Once you have created all of your vouchers you will be able to puchase these in clinic with your patients.

To puchase the voucher with the patient, you will first need to head into the patient record.

Once in the record, you will be able to select voucher credits.

This will then show any active vouchers for the patient, but to purchase a new voucher, select the add credit option.

You will then be able to select which voucher you would like to puchase.

You will then be able to see the price of the voucher.

The email address the voucher is being sent to will also appear.

You then have your payment options to take payment for the gift voucher sale.

Once sold, the voucher will appear in the voucher sales section of your gift voucher settings.

An email will also be sent to the patient with the gift voucher and voucher number to be used at their next appointment.

From a patient point they are also able to purchase vouchers from your online booking page.

Your patient would visit your booking link, like they would to book a treatment appointment. But instead of heading to the treatment tab they will head to the gift voucher tab.

Your patients will then be able to view all the active vouchers you have.

Once a voucher has been selected by the patient they can either choose to send the voucher to themsleves.

Alternatively, they can send the voucher to someone else.

Then when happy, the patient can then choose to pay where they will be guided to stripe to make payment.

Once paid, the voucher sale will show within the gift voucher settings section.

The patient or the recepient will then recieve an email with the gift voucher to redeem in clinic.

Once your patient has purchased their gift voucher, they can then redeem this against their treatment when they come in for treatment or online.

To redeem the voucher in clinic, you will first need to head to the patient record and into the appointment.

Then, you will need to head to the invoice at the end of the treatment documentation.

Then choose the others option to take payment for the invoice via a gift voucher.

You will then have the option to make payment via gift voucher.

You will then just need to ask the patient for the voucher number and enter how much of the voucher they are redeeming for this appointment.

Once applied, the redeemed voucher will show on the patients invoice.

With the online booking page the patient will just need to enter the voucher code into the online booking page. This will then assign the voucher to the patient to redeem when they come into clinic.
