How To Add A Private Date

Learn how to physically block time out in your diary in ANS

This article will talk you through how to block time out in your diary using our private date function.

Using our private date function allows you to add lunch breaks, holidays and generally block out time in your diary.

Block Out A Lunch Break

Your first option with our private date function is adding in a lunch break to your diary.

Step 1 :

From the calendar, you will first need to click to add a new appointment.

Step 2 :

Then once in the appointment section, select the private date option.

Step 3 :

Then you will be able to name your private date 'lunch break'.

Step 4 :

Then you can select the colour of the private date and how the private date is for.

Step 5 :

You then need to add when you would like the lunch break to start and end. For example it would start at 12pm and finish at 1pm.

For the lunch break you will need to make sure the dates are the same.

Step 6 :

Finally you can select if you would like this lunch date to repeat. You may wish this to be the same lunch break everyday or just every Thursday.

Step 7 :

Once saved, this will add the lunch break into your diary preventing any patients from booking at this time.


Block Out A Holiday

Your second option with our private date function is blocking out a date range, this could be for a holiday you have planned.

Step 8 :

From the calendar, you will first need to click to add a new appointment.

Step 9 :

Then once in the appointment section, select the private date option.

Step 10 :

Then you will be able to name the private date 'Holiday'

Step 11 :

Then you can select the colour of the private date and how the private date is for.

Step 12 :

You then need to add when you would like the holiday to start and end. You might be off from Monday at 9am to Friday at 5pm.

Step 13 :

You can then select if you would like the the period of time you have blocked to repeat.

Step 14 :

This will then block your days out from being booked in the diary.

For a holiday private date, you do not necessarily want this to repeat as this will be a stand alone block.


Adding A Meeting or Doctors Appointment

Your third option for our private date is to use the function to block out any meetings, doctors appointments or even the school run from your diary. This will work in the same way you set up a lunch break and can either be a stand alone private date or a recurring one.

Step 15 :

From the calendar, you will first need to click to add a new appointment.

Step 16 :

Then once in the appointment section, select the private date option.

Step 17 :

Then you will be able to name your private date for example 'school run'.

Step 18 :

You can choose the colour you would like the school run to appear in and also which practitioner this is linked to.

Step 19 :

You then need to select when you are blocking the time for. This would be for a school run 2:30pm to 4pm for example on the same date.

Step 20 :

You can then select if private date needs to repeat. For a doctors appointment, you may not want the blocked time to repeat but if you do the school run every week day you may want this to repeat. In this instance you would need to set the repeat to either everyday or every week.

If you choose for the private date to repeat daily this will show everyday even weekends. Whereas weekly will just had this private date to the same day every week.

You would then just need to repeat this process for everyday you do the school run.

Step 21 :

Once saved, this will appear in your diary as a daily or weekly private date.
