Import Existing GoCardless Subscriptions

Step 1:

Go to the GoCardless section in Settings.

Click the "Import Subscriptions" button at the bottom of the page.

Step 2:

Select the date range of GoCardless subscriptions you'd like to import.

(This will pull data from your GoCardless account of existing customers on subscriptions)

If you want to import all history, we recommend selecting 'Past 5 years'

Step 3:

Next, you need to assign the correct ANS Patient Record to each existing subscription.

  • The software will automatically match any customers from GoCardless to an existing ANS record by 'First Name, Last Name and Email Address'

  • In the column 'Assign ANS Patient Record' you can search all of your ANS patient records to assign the correct person.

Step 4:

Once you've assigned the correct patients, tick the box to "Confirm Selection"

Then, click "Confirm" when you're happy to import those subscriptions agains the chosen patient records.

*Don't worry if you make a mistake, you can re-assign subscriptions afterwards.

Step 5:

If you then open a patient record and click the "account credits" button, you will see any imported Subscriptions and previous payments for that patient.

Important Note:
At this point, you may want to consider making a manual adjustment to the credit balance if you have already used some of the patients payments towards previous treatments. To do this, click the "Adjustment" tab.

If you accidentally import a subscription to the wrong patient, follow these steps.

Step 6:

Go to the GoCardless section in Settings.

Click the "Manage Subscriptions" button at the bottom of the page.

Step 7:

Here you will see a list of any 'subscriptions' you have imported and assigned to an ANS patient record.

This list shows you:

  • The name of the customer you've assigned the subscription to

  • The original name of the customer as shown in Go Cardless

  • The Subscription Plan & Amount

  • A drop-down box to 'Reassign to ANS Patient'

In the drop down box titled 'Reassign to ANS Patient', select the new patient record you want to move the imported subscription to.

Please note; this will move any information relating to the subscription and previous payments from the current patient to the newly assigned record.

Step 8:

Then click, "update subscriptions".

In this example:

This will move the 'Test Plan' information for £10 from Katie Jones' record to John Taylor
