How to Connect GoCardless

Learn how to connect your ANS account to GoCardless (Subscription payments)

This article will talk you through how to connect to GoCardless and begin offering subscription plans to your customers through Aesthetic Nurse Software.

Connecting your ANS account to GoCardless will allow you to offer recurring subscription plans to your patients for their treatments. Helping you to secure predictable revenue and your patients to breakdown their costs.

Step 1:

From the main menu, head to Settings.

Step 2:

Once in Settings, locate the "Integrations" section and click the GoCardless icon.

Step 3:

Click 'Connect Go Cardless Account'

Step 4:

You will be directed to login to your GoCardless account.

  • Enter your email address and password.

*If you don't already have an account, click "Sign up"

Step 5:

Then click "Connect Account"

Step 6:

You'll be redirected to ANS and will see a confirmation message.

Please note;

  • Your existing subscription templates (or "plans") from GoCardless will not be transfered.

  • You must now create the templates you want to offer for any future new subscriptions

*Customers on existing subscriptions will not be affected*

Step 7:

Now, you need to create any subscription plans that you want to offer to your customers.

Click the "New Plan" button

Step 8:

You can then create the plan template including;

  • Plan Name, Amount, Frequency, When to take payment, Number of payments

Complete the fields and click "Create Plan"

Step 9:

This will now show as one of your Subscription Plan Templates.

  • Click the 'pencil' to edit - this will edit the plan template only, not any existing customers on this plan.

  • Click the 'cross' to delete - this will delete the plan template only, not any existing customers on this plan.

Set your patient up with a new subscription

Step 10:

Open a patient record and click the "Account Credits" button

Step 11:

Click the "Add Credit" button in the right hand corner of the pop-up

Step 12:

Select 'Go cardless' from the options displayed.

Step 13:

Choose the plan you would like to apply to the patient

- This list will pull from the plans created in settings > go cardless > plans

Step 14:

The default plan settings will pull through, this can be edited to suit the patient.

Step 15:

You are either able to send a payment link to the patients email or create the subscription in clinic by selecting the 'create plan' option.

Step 16:

Once the subscription has been created this will be displayed within the subscription tab which can be accessed by clicking 'view' next to the gocardless logo.

  • You are able to view what subscriptions are currently assigned to the patient and the dates that the subscription payments have been made

  • Under the 'transactions' tab each individual payment will be displayed showing the method the transaction was added, the date that the subscription was imported, the date the patient made the payment and the amount paid by the patient.

  • Under the 'Subscriptions' tab, this will show all subscriptions linked to this patient showing:

    - The name of the plan (if the plan was imported this will show as 'imported subscription'

    - The amount of the direct debit

    - The date the subscription was set up

    - If imported - the date of the import

    - The payment interval

    - The method the subscription was added.

  • Under the 'Adjustments' tab, you can also make a manual adjustment to the credit balance on the patients account.

How to pay invoice using GoCardless credit

Step 1:

  • Open an Invoice

(Open Patient Record > Click an Appointment > Click Invoice Tab)

  • Click the "Others" button (to view other payment options)

Step 2:

Select "GoCardless" from the options

Step 3:

Enter the amount of credits you want to use against the invoice.

  • This pop up will show you the total credit balance for this patient, based on the payments received via GoCardless up to that point (minus any credits already used)

Step 4:

You will then see a payment (via method Go Cardless Credit) is added onto the invoice to reduce the amount due to pay.
