Posting Tuition Charges

Updated over 2 weeks ago

Akada lets you post tuition charges for an entire billing frequency at once. The program will pull the total tuition amount from the account and add a tuition charge matching that amount to the account transaction screen.

To Post Tuition Charges:

  • Locate the Financial section in the Settings menu to the left.

  • Select Post Charges.

  • Select Tution.

  • Verify that the correct session to be charged tuition appears in the Session drop-down.

  • Select the appropriate Billing Frequency.

  • Select your Billing Frequency Discount options, if any.

  • Select your Multiplier option.

  • Enter the Charge Date you want to appear on the customer's account.

  • Enter a Description.

  • Select any additional posting tuition options.

  • Click the Preview Tuition Changes button.

  • After clicking the Review and Post button, the Confirm Charge Posting grid will appear below (see pic above).

  • Review your accounts and tuition amounts*.

  • When satisfied, click the Post Charges button.

  • A pop-up will appear confirming the posting is complete and the total amount posted.

  • Click Okay to close the pop-up.

  • Your tuition posting should now appear in the posting history at the bottom of the page.

*Clicking the arrow next to a name allows you to view the student's name and tuition amount. This can be helpful for accounts with multiple students.

Additional Posting Options:

  • Apply prior open payments/credits to this charge - Checking this box will apply any unapplied credit or payment to this tuition charge.

  • Allow accounts to pay this charge online - Checking this box gives your customers the ability to pay the tuition charge using their parent account.

  • Do not use any assigned discounts - Checking this option tells the program to disregard any discounts assigned to the account or student.

  • Include student fee with tuition posting - This option tells Akada Software to include the student fee if assigned to the student.

  • Include account fee with tuition posting - Selecting this box instructs the program to include an account fee if it has been assigned to the account.

Tuition Posting History:

The Tuition Posting History allows you to view your previous tuition postings for each session. This is a handy way to monitor growth and make general comparisons when posting tuition. You can use the drop-down menus to switch between sessions or display different postings, including deleted ones.

If you make a mistake while posting your tuition, you may delete the entire posting using the "delete" link on the right. This will remove all tuition charges from the accounts simultaneously.
