Getting to Know the Student Profile

Learn about the information you can add to a student's profile and how to configure it.

STEP 1 - Access

You can access the student profile in three ways:

  • CRM > Students

  • CRM > Pipelines

  • Student Shortcut in the Top Menu


STEP 2 - Profile Information

In the student profile, you can:

  • Change the Student's Profile Picture

  • View or edit information like:

    • Name

    • Nationality

    • Email

    • Phone

    • Social Media

    • WhatsApp

Key Actions:

  • Activate Public Form: Generate a link for the student to fill in their own registration details.

  • Perception: Define the student's level of interest as Cold, Warm, or Hot based on their likelihood of making a purchase.

  • Tags: Add keywords related to the student's interests for future search and categorization.

  • Country and City of Interest: Record the student’s desired destination.

  • Create Task: Set up a task related to the student for yourself or another user. The task will appear in the responsible person's calendar.

  • Create Note: Add important notes about the student. These will appear in their timeline.

  • Archive Lead: Mark the lead as inactive to declutter your active leads list. The lead can still be accessed later with all its information intact.

  • Pipelines: View and manage the processes this lead is involved in. A lead can be in more than one pipeline simultaneously.


Overview Tab

Key Features:

  1. Checkpoints:

    • Located on the right, just below the pipeline section.

    • Shows the actions required for the student based on their status in the pipeline.

  2. Generate Document:

    • Use document templates associated with a quote to generate contracts or forms automatically filled with the student's details.

  3. Student Files:

    • Upload important files, select the folder, and define user access levels for viewing these documents.

  4. Visa, Travel Assistance, and Health Coverage (OSHC):

    • Set up notifications to alert you when these documents are about to expire.

  5. Flight Information:

    • Register the student’s flight details (simplified or complete) and set notifications to track their travel.

  6. Timeline:

    • Displays a record of all actions and interactions with the student.


Email Tab

Switching from the Overview Tab to the Email Tab, you can:

  • Use the built-in email tool to write and send emails.

  • Send email templates directly to students.

Note: SMTP integration is required to send emails from this tool. Learn more about SMTP here.

All emails sent through this tool are treated as if they were sent from your own email inbox, ensuring you don't lose track of any communication.


Quotes and Links Tab

In this section, you can:

  • View all the quotes and links you’ve created for the student.

  • Create new quotes or manage existing ones.


Information Tab

This tab contains all the student’s registration details. Use it to:

  • View and edit the student's personal information.
