How do I archive a Group (Site)?

Safely retire a Group (Site) by removing users, cleaning up assignments, and updating the Group status for reporting and integrations.

Archiving a Group in ANVL is a controlled retirement process for a site that should no longer be used operationally. The Group is not deleted. Instead, you remove it from active use while preserving historical data.

To archive a Group, you must do all of the following:

  • remove all active Assignments

  • move all users out of the Group

  • update the Group tag to groupType:ARCHIVED

  • rename the Group to show it is archived

This prevents future workflow use, assignments, and normal deployment activity while keeping historical reporting intact.

Do not archive a Group if:

  • users are still assigned to it

  • active assignments still exist

  • the Group is still needed for live operations

If your organization uses ANVL with other Benchmark Gensuite applications, archiving a Group may also require review of cross-platform site mapping.


Steps

  1. Open ANVL Insights and confirm the Group should no longer be used for live work.

  2. Remove all active Assignments tied to users in that Group.

    • Review assignments in ANVL Insights

    • remove or clean up any active assignments before continuing

    • do not continue until no active assignments remain tied to that Group

  3. Move all users out of the Group.

    • open ANVL Insights > Users for one-off updates, or

    • open Admin Portal > User Management for bulk updates

    • reassign users to the correct active Group or Groups

    • confirm the Group being archived has zero users assigned

  4. Open the ANVL Admin Portal.

    • in ANVL Insights, select Welcome, [Your Name]

    • select Admin Portal

  5. Go to Group Management.

  6. Find and open the Group you want to archive.

  7. Update the Group tags.

    • set the Group tag so the Group is marked as archived

    • use:
      groupType:ARCHIVED

    • save the change

  8. Rename the Group.

    • update the Group name using a clear archived naming pattern such as:
      ARCHIVE [Original Group Name]

    • save the change

  9. Refresh the page and confirm:

    • the Group name is updated

    • the groupType tag is now ARCHIVED

    • no users remain assigned

    • no active assignments remain tied to the Group

  10. If your organization uses ANVL integrated with other Benchmark Gensuite applications, review whether the site mapping also needs to be updated or archived.

Important notes

  • Groups are archived, not deleted.

  • Archiving preserves historical data.

  • New Groups do not inherit this archived status automatically.

  • Always remove users and assignments before archiving.

  • If the Group is still mapped to other Benchmark Gensuite applications, coordinate that change so reporting and site alignment stay accurate.
