What is the ANVL Permissions Model

Answer

The ANVL permissions model defines what someone can access, what they can do, and what advanced capabilities they can be given across ANVL.

Access is made up of three layers:

  • Roles — basic product access

  • Special Rights — advanced capabilities

  • Account-Level Settings — user-specific management or visibility behaviors

Roles give someone access to the main ANVL products. Special Rights extend what they can do beyond basic access. Account-Level Settings control certain user management and visibility behaviors.

A person may have one role, both roles, or a role plus one or more Special Rights depending on what they need to do.


Steps

  1. Review whether the user needs access to:

    • ANVL Insights

    • ANVL Workflows

    • or both

  2. Assign the correct Role:

    • ADMIN for ANVL Insights

    • TECH for ANVL Workflows

  3. Decide whether the user also needs any Special Rights:

    • Admin Portal

    • Workflow Management – Create

    • Workflow Management – Edit

    • Workflow Management – View

    • Workflow Management – Delete Draft

    • Workflow Management – Publish (UAT)

    • Workflow Management – Publish (All)

    • Insights AI

  4. Review whether the user needs either Account-Level Setting:

    • Can Modify User

    • Hidden User

  5. Assign only the access needed for the person’s responsibilities.

  6. After changes are made, confirm the user can access the correct ANVL areas and only the capabilities they need.

ANVL Workflows User / TECH / ANVL Mobile

Grants access to ANVL Workflows (Mobile App and Web) to complete assigned workflows and capture field data, including photos, videos, notes, signatures, and checklist responses. Supports offline execution with automatic sync when connectivity is restored.

Special Right

Hidden User

Provides system access without operational visibility. User is hidden from assignments and user dropdown lists but retains system access (typically for support or integration use cases).

ANVL Insights User / ADMIN / ANVL Web

Grants access to ANVL Insights (Manager Dashboard) to review site and organizational data, including Live Feed, completed workflows, Assignments, and analytics. Enables visibility into safety trends, workflow activity, and leading indicators.

Can Modify User

Grants access to the Users tab for site-level user management. Allows adding, editing, activating, and inactivating users within assigned site(s). Does not grant Admin Portal access.

Workflow Management – View

Provides read-only access to workflow templates, including structure, logic, and content. No editing or publishing capabilities.

Workflow Management – Create

Allows creation of new workflows using Mobilize AI. Does not allow editing or publishing existing workflows.

Workflow Management – Edit

Allows editing of existing workflow templates within the Workflow Editor. Changes remain in draft until published. Does not allow publishing.

Allows publishing workflows to Demonstration sites (“groupType”:”UAT”) only.

Allows publishing workflows to Demonstration and Production sites.

Workflow Management – Delete Draft

Allows deletion of unpublished workflow Drafts at the organization level. Applies globally and is not restricted by site. This action permanently removes Drafts and may impact in-progress configuration work. Grant with caution.

Insights AI / Risk Insights

Grants access to Insights AI to identify trends, risks, and performance gaps across workflow data. Provides AI-generated insights including supporting evidence, workflow context, and recommended actions.

Provides system access without operational visibility. User is hidden from assignments, Users tab, and supervisor lists but retains system access (typically for support or integration use cases).

System Manager / Admin Portal

Grants access to the ANVL Admin Portal for organization-level administration, including user management, Group (site) configuration, Special Rights governance, and bulk administrative actions across the entire organization. This permission provides broad, organization-wide control and should be restricted to Business Administrators only. Grant with caution.

Distribution List

Email Digest (Daily Usage Report)

Sends a daily summary of ANVL usage, including workflows completed, interventions, and Stop Work events. Provides visibility into adoption and engagement at the site and employee levels.

Escalation Notification – Stops

Sends a real-time email and/or SMS alerts when a Stop Work event occurs, enabling immediate supervisor or leadership response.

Sends a real-time email and/or SMS alerts when an employee raises a Flag within a workflow.
