How do I create a new workflow using Mobilize?

Generate a new workflow draft quickly using AI, documents, or voice input.

Answer

Use Mobilize to generate a new workflow Draft from a document, chat prompt, voice input, or a combination of those inputs. Mobilize always creates a Draft, not a live workflow, so you should always review, refine, and test it before publishing.

If you do not see Mobilize, contact your Business Administrator (BA) or Benchmark Gensuite team for access.

Steps

  1. Open ANVL Insights.

  2. Go to Mobilize.

Choose how you want to create the workflow

Option 1: Document only
Use this when you want the workflow generated directly from a source document such as an SOP, checklist, standard, or procedure.

  1. Select Upload File.

  2. Upload the file.

  3. Wait for processing to finish.

  4. Do not type anything in chat.

  5. Select Mobilize.

Use this option when you want the output to stay as close as possible to the uploaded content.

Option 2: Chat + document
Use this when you want to guide the design with instructions, context, or refinements.

  1. Select Upload File.

  2. Upload the file.

  3. Wait for processing to finish.

  4. Enter additional instructions in chat.

  5. Refine the prompt as needed.

  6. Select Mobilize.

Use this option when you want AI help adapting the workflow, combining source material, or designing around a specific use case.

Option 3: Chat or voice only
Use this for simple or exploratory workflows.

  1. Enter a prompt in chat or use voice input.

  2. Describe the workflow you want to create.

  3. Select Mobilize.

Use this option when you want to start quickly without uploading a document.

Create the draft

  1. Select Mobilize

  2. Enter the Draft name.

  3. Select Create.

  4. Wait for processing to complete.

  5. Select Take me there to open the draft in Editor.

Review the draft before publishing

  1. Review the question wording.

  2. Adjust question types as needed.

  3. Confirm workflow sections and categories.

  4. Review routes and logic.

  5. Save your updates.

Test before release

  1. Publish the workflow to Demonstration / UAT.

  2. Test the workflow end to end.

  3. Publish to Production only after validation passes.

Helpful notes

  • Document only is usually the best choice when accuracy to a source standard matters most.

  • In Chat + Document, the uploaded file helps guide generation, but you still need to review the output carefully.

  • Large files may fail to process. If needed, split the source file into smaller pieces.

  • Avoid multi-sheet Excel files when possible.

  • For large or highly branching workflows, it is often better to create multiple smaller workflows instead of one very complex workflow.

  • Mobilize creates the draft quickly, but workflow quality still depends on review, editing, and testing before publish.
