How do I navigate the Workflow Editor?

Find drafts and published workflows, understand what you’re looking at, and know where to click to make changes.

Use the Workflow Editor to find drafts and published workflows, switch between Groups, and make changes to workflow questions, routes, and settings.

The Editor has three main areas: the left panel for navigation, the center canvas for the workflow diagram, and the right panel for editing.

If you cannot find a workflow, the most common reason is that you are in the wrong place — Drafts instead of Published, or the wrong Group is selected.


Steps

Open the Workflow Editor

  1. Open ANVL Insights.

  2. Select Mobilize.

  3. Select Editor.

Use the left panel to find workflows

  1. Open Published to view workflows that are active for the selected Group.

  2. Open Drafts to view workflows that are still being edited and are not yet live.

  3. Use the Group selector to switch between sites or groups.

Use the center canvas to view workflow structure

  1. Review the workflow diagram in the center of the screen.

  2. Select a question to edit that question.

  3. Select a route to edit route type, logic, escalation, or launch behavior.

  4. Drag from one question to another to connect workflow flow.

Use the right panel to make changes

  1. Use the Workflow tab for workflow-level settings.

  2. Use the Question tab for question-level settings.

  3. Use the Library tab to add new question types by drag-and-drop.

  4. Use Mobilize when you want AI help generating or modifying a workflow.

Find the workflow you need

To find a Published workflow

  1. Open Published.

  2. Select the correct Group.

  3. Open the workflow from the list.

To find a Draft

  1. Open Drafts.

  2. Select the draft from the list.

  3. Look for naming cues such as initials or site name if your team uses them.

Understand Published vs Drafts

Published

  1. These are the workflows end users can launch for the selected Group.

  2. You generally do not edit Published directly.

  3. To make changes, open the published workflow and select Save to create a draft.

Drafts

  1. These are used for editing and iteration.

  2. Drafts are not visible to end users until published.

  3. Deleting a draft removes it for everyone if you have that access.

Know what to click to edit

Edit a question

  1. Select the question in the diagram.

  2. Update the settings in the right panel, such as:

    • text

    • type

    • response options

    • category

Edit workflow categories

  1. Select the question.

  2. Update the Category field.

  3. Categories appear as breadcrumbs during completion and as headers in completed and printed workflows.

Add a question

  1. Open the Library tab.

  2. Drag the question type into the workflow.

  3. Configure it.

  4. Connect the routes.

Edit routes or logic

  1. Select the route line.

  2. Configure:

    • Default or Rule

    • rule conditions

    • Escalation Type

    • Launch New Workflow

Delete an item

  1. Select the question, node, or route.

  2. Use the Delete or Backspace key.

Important editing behavior

  • Every question must have one Default route.

  • Any additional routes must be Rule routes.

  • The Editor does not have a full undo button.

  • Structural changes like adding or deleting questions, routes, or nodes cannot be undone.

  • Save often while editing.

  • If you make a mistake and have not saved yet, refresh the browser to return to the last saved state.

  • Standard text undo still works inside text fields:

    • Windows: Ctrl + Z

    • Mac: Cmd + Z

Publish from Drafts

  1. Open Drafts.

  2. Select the Publish icon next to the draft.

  3. Publish to Demonstration / UAT first, then Production.

Refresh after publishing

  1. Refresh the browser.

  2. Reopen Published.

  3. Re-select the correct Group.

  4. Open the workflow again to confirm you are seeing the latest version.

Common pitfalls

  • Wrong Group selected

  • Looking in Drafts when the workflow is Published

  • Looking in Published when the workflow is still a Draft

  • Forgetting to refresh after publishing

  • Choosing Create when you meant Update
