How do I create a Team Assignment?

Step 1: Create a Team

Before assigning work to a team, you need to define the team.

  1. Navigate to the Users tab in the ANVL web app

  2. Select the new “Teams” option

  3. Click Add Team

  4. Enter a Team Name (e.g., “Safety Department”)

  5. Select the users to include in the team

  6. Click Save

✅ You now have a reusable group of users for assignments

Optional: Manage Teams

  • Edit a team → Select checkbox → Click Modify

  • Deactivate a team if no longer needed

Step 2: Create a Team Assignment

Once your team is created, you can assign workflows to the entire group.

  1. Go to the Assignments Dashboard

  2. Click Create Assignment

  3. Select a Workflow (e.g., Job Site Inspection)

  4. In the assignee section, choose:

    • Team instead of individual users

  5. Select the desired Team

OPTIONAL: Create Scheduled Assignment:

  1. Go to Manage Schedules & Create Scheduled Assignment

  2. Select:

    • Workflow

    • Team

  3. Configure:

    • Frequency (daily, weekly, etc.)

    • Start/Due timing

  4. Add message (optional)

  5. Save schedule

Step 3: Configure Team Completion Mode

When assigning to a team, you’ll see a new option:

  • Team Completion Mode

    • Every user on the team is required to complete the workflow individually

    • Round Robin assigning may come in a future release, let us know if you'd like to see that!

👉 Example:

  • If 3 users are on the team → all 3 must complete the assignment

Step 4: Set Assignment Details

  1. Add a Due Date

  2. (Optional) Add a Message/Instructions

  3. Click Create Assignment

Step 5: View Assignment in Dashboard

After creation, the assignment will display:

  • Assigned Team name

  • Individual assignees (team members)

  • Assignment status and message

Mobile Experience (Frontline Worker)

On the mobile app:

  1. Navigate to Assignments

  2. Team assignments are marked with a team/persona icon

  3. Tap the assignment to view details:

    • Shows team name

    • Indicates all team members must complete it

  4. Tap Start and complete the workflow

Key Behavior to Remember

  • At this time, team assignments = NOT shared completion

  • They are duplicated per user

  • Each team member must complete their own workflow

When to Use Team Assignments

Best for:

  • Recurring inspections

  • Daily safety checks

  • Layered process audits

  • Standardized processes across a crew/team
