How To: Set up Wall Calendars with Automated Fulfillment

If you're an Artist using Gooten to fulfill merch products on your site and you are looking to offer wall calendars on your website, Art Storefronts has implemented this new product for you! We now offer our customers the ability to sell wall calendars and have them be automatically fulfilled by Gooten.

To offer calendars through Gooten, you will need to follow these simple steps:

Step 1. Enable the Calendar as a merch medium

In your site manager, go to your Art Print Store, Media tab > Merch tab, find the Wall Calendars and switch the toggle ON:

Once you enabled the medium, you can proceed to step 2, here you will specify the images which will be used for the inside pages (months, Jan 2022-Jan 2023)

Step 2. Create a folder with images for the inside pages of the calendar

We recommend creating a new Art Print Store for your calendar products, as the very specific image sizes required for the cover image will likely leave it unsuitable for use on other merch products.

To do this, first go to your main Site Manager page, and click on the +Add Pages button at the top of the page.

On the next page, enter the Name of the new store (Calendars is a good option), click on Store as the page type, then click on Create to create the store.

Now select Art Print Store as the type of store, and click on Create again.

The next step is to disable all print mediums and Gooten merchandise except for Calendars. Click on the Media tab.

Now make sure you’re on the Art Prints tab, then scroll down and click on the Toggle All Off button under Bulk Actions. This will disable all the print media, and you should then click on Save.

Now switch to the Merch tab, and switch on Wall Calendars. All the other Gooten merch should be switched off.

You’re now ready to create folders and add your calendar images.

Step 2.a Create and name the calendar folder

This step is very important. If you don’t follow these instructions, your calendar won’t work correctly.

Make sure you’re on the Products tab, and click on the +Add Folder button.

The folder name should begin with [Calendar] for it to be recognized by the system as the home of a group of images to go inside your calendar.

For this folder it’s been named [Calendar] Portraits

Note: Part of the name of the folder - in this example Portraits, highlighted in this screenshot in blue - may be visible on the live site. We would recommend using a name which is easy for your customers to understand.

Step 3. Add images for inside calendar pages to the folder

Note: Please complete this initial step of uploading the interior images first to ensure the calendar merchandise option is set up correctly before proceeding to upload the calendar cover.

Now you need to add your 13 interior images to this folder. When populating pages January 2022 to January 2023, images will follow the same order that you have set in the folder. So in order to reorganize the images on the pages of the calendar, you can rearrange them by dragging and dropping them.

Remember that the correct resolution for these images is 2737x2750px. Images which are any other size may be cropped or otherwise be repositioned to not fit the calendar pages accurately.

Step 4. Upload your calendar cover

The cover is a separate image from the interior images, and this is the product which you will be adding to your site for customers to purchase. For this it’s best to create a new folder which will just hold the cover images separate from any [Calendar] folders.

Click on +Add Folder.

Enter the name for this folder (Covers is a convenient name to use) and click on Create.

This is where you will upload your calendar cover image or images.

Remember that the correct resolution for calendar cover images is 2737x4340px. Images which are any other size may be cropped or otherwise be repositioned to not fit the calendar pages accurately.

Don’t forget to rename your calendar covers correctly! (And click on Save after renaming it)

There is one additional step which will hide the image positioning controls on the Options page of the product, and you’ll access this by clicking on the Available Media tab on the product.

Select the Merch tab, then click on the Lock Image Position link to the right of Wall Calendar.

This will open a new page, and here you should click on the Lock All Variants button to the right of the preview images, and then click on Save and you can close this page.

This just ensures that the Image Size and Rotate controls aren’t displayed on the calendar product’s Option tab, as these aren’t needed for this product.

Step 5. Add to a gallery page

Products intended for sale should always be added to a gallery page. If you don’t have a page set up for your calendar you can create and add one from the product page of your calendar cover.

On this page, look for the Product Galleries section, which is just to the right of the product thumbnail. This will show which galleries the product is currently listed in, which for this product is none. To add this product to an existing gallery page, click on the edit link.

On this page, first make sure that Add is selected, then put a checkmark next to the gallery page you wish to have the calendar added to, and click on Update.

Once complete, you’ll see this dialogue which indicates that the product has been added to the selected gallery. Click on Ok to continue.

Step 5a. To create a gallery page for the calendar

If you wish to create a new gallery page for your product, you can also do this from the product page. Open the product and go to the Product Galleries section to the right of the product thumbnail, and click on the edit link.

On this dialogue window, click on the + Create a new Product Gallery link.

On the new dialogue window that opens, put in the Name of your product gallery, make sure there is an x in the Make It Visible On Your Home Page? Option, and click on Create.

After a message saying the new page has been created, you’ll be back on the Add/Remove from Product Gallery Pages dialogue. You’ll see your new gallery page is now showing in the list of galleries - it will be the first in the list - and you can add a checkmark next to this gallery and click on Update.

Close the dialogue window and you’ll see the gallery page listed to the right of your product thumbnail, and your calendar will be ready for your customers to purchase!

Step 6. Check how the calendar will look on your site.

The last step is to see how your calendar will appear for your customers. You can do this by opening your live site and opening the gallery page which you added the cover product to.

Here you can see the Calendar gallery page, with the single calendar product showing:

When you click on the cover, you’ll see the full product preview, and from here the customer can add it to their cart and buy it.
