In this article, we will delve into the integration with Highway's Load Lock now that you completed the steps in setting up your Highway Connect account. If you have not setup Highway Connect, you can follow this article.
Highway offers a unique service called “Load Lock” which aims to solve multiple potential fraud issues by qualifying and establishing a carrier’s true identity, securing load rate confirmations and auditing a load’s stops and movements. It also compares a carrier’s number of vehicles, insurance and certifications, recent load history and location data with their active rate confirmations to identify when a carrier may have overbooked its capacity, can’t meet expected delivery times or doesn’t meet regulatory compliance requirements such as for high-value or hazmat loads. Load Lock provides load-level fraud prevention and requirements compliance by providing continuous monitoring from the time a carrier is assigned to a load until the shipment is delivered.
Load Lock accomplishes the above by analyzing the details of a load and the carrier assigned to the load. To initiate a load for Load Lock, the load must be sent to Highway. We have provided a couple of ways to do this, manually or by an AWE rule.
To get started, build your load and complete all necessary information. Below will show you how to setup your AWE rule to send loads to Highway for fraud review and then we will show you how to setup manually.
From Settings, go to Automatic Workflow Engine.
Scroll down until you see the rule to Automatically, initially, send a load to Highway's Load Lock. You have 3 rules you can set to initiate the load details being sent to Highway. You may choose 1 or all 3.
The first on the list is "When load status is set to...". In the below example we have the status set to Booked - Awaiting Confirmation so when this status is applied as the load status, the load details are sent automatically to Highway.
The 2nd option is when a rate confirmation is sent to the customer and the last is once a carrier is assigned OR modified on the load. Once you set any of the AWE rules, the automation takes over.
To manually send loads to Highway's Load Lock, from the load level, go to Dispatch and Tracking.
From here, you will see the Highway tab. Click on Highway to go to the dispatch modal.
From the modal, you will see the load details, driver info, equipment and commodity, as well as the current status of the load. If you have not mapped your equipment or commodity you can click on the link under the respective item and be redirected to the Edit Lists page to map your items before the load gets sent to Highway. Please note, these items must be completed in order to send load to Highway.
Once all info is complete, you can click the "Send Load to Highway Load Lock". You will get a banner advising that the load details were updated to Load Lock as well as the button will now change to Update Load to Highway Load Lock. Ascend will automatically send an update on the load details if certain items are changed or updated, such as date or time, stops are changed, financials updated or changes to driver info. Below is a full list of the items that will be automatically updated.
Rate confirmation is emailed to Customer
Carrier is assigned to or removed from a load
Carrier confirmation is emailed to Carrier
Any of the following are added or modified:
Load ID/Reference #
Commodity
Equipment Type
Declared value
Driver or Driver phone #
Power Unit #
Trailer #
Stop information changes:
Stop location name
Stop address
Stop reference #s
Stop scheduled date/time
Actual Arrival or Departure date/times are entered or modified
From this modal, you can also send the Rate Confirmation to Highway's Load Lock as well for further fraud checks. Just click on the Email Carrier Rate Confirmation via Highway. Highway then verifies all the information and will also email the document to the carrier but you can also go to the documents list and email the carrier yourself.
Highway scans your carrier info and documents for fraudulent information such as phone number and email addresses and will notify you if they suspect fraud.
Highway will also send load level alerts as per below such as invalid dates, over capacity or no truck available. These alerts will show as an alert on the carrier page in the load. Once you click the icon, you will be redirected to the Highway modal where it will outline your alerts.
Now that you have completed all of Highway's onboarding and mapping, you can now receive carrier updates as well as all of the load lock features.
