Importing data: formatting requirements

This article will guide you on how to properly format your data before importing it into Audience Republic.

Overview

When importing data into Audience Republic, your file must meet specific formatting requirements, or the import may fail. Our import tool will flag formatting issues and, in some cases, help you fix them directly in the platform—but it’s best practice to ensure your data is clean and properly formatted before you begin.


Contact field requirements

Email address

  • The cell format should be General or Text

  • A valid email address consists of an email prefix and an email domain. For example: testprefix@testdomain.com

  • Make sure that no spaces exist, either within the email address or after it. To remove invisible spaces we recommend using the TRIM function in excel.

Mobile number

  • The cell format should be General or Text

  • Mobile numbers must include:

  • Numbers and '+' symbol will be accepted. Spaces and dashes will be ignored

  • Remove () brackets

Gender

  • The cell format should be General or Text

  • Gender values can be entered as either:

    • M / F / O or Male / Female / Other

Date of birth

  • The cell format should be Date: DD/MM/YYYY or YYYY/MM/DD

Country

  • The cell format should be General or Text

  • For best results we recommend ISO 3166 2 letter codes but other formats (e.g. United States or USA) are accepted. Best practice is to ensure all data uses the same format prior to import.

State

  • Country must be included in your CSV file

  • When mapping the fields during importing, ensure you select Country and State

Tags

  • The cell format should be General or Text

  • Only these character types will be imported for tags

    • Letters (abcdefg)

    • Numbers (12345)

    • Hyphen ( - )

    • Underscore ( _ )

  • If there are multiple tags, each tag should be separated by a comma:

  • Another acceptable format is tags separated by commas and also wrapped by quotes (This is the format MailChimp exports tags by default)


Event field requirements

Start or end date and time

  • The cell format should be Custom: d/mm/yyyy h:mm

Event ID

  • The cell format should be General or Text

  • Each Event ID must be unique

  • Values can include numbers, upper and lower case letters and symbols


Ticket/order field requirements

Order date and time

  • The cell format should be Custom: d/mm/yyyy h:mm

  • Note that upon importing, you will be asked to identify a timezone for the Order date and time. You should select the timezone applicable to the data you are importing, not the timezone you are in. Typically, order date and time is provided in UTC, though some ticketing provider platforms may translate the date to your local time. If you are unsure we recommend contacting your ticketing provider.

Order ID

  • The cell format should be General or Text

  • Each Order ID should be unique

  • Values can include numbers, upper and lower case letters and symbols

Total paid

  • The cell format should be Number, with 2 decimal places
