Learn how to import event and ticket sales data.

Overview

If you're using a ticketing provider that Audience Republic doesn't currently integrate with—no worries! As long as you can access and export your ticket sales data from your ticketing platform, you can easily import it into Audience Republic, whether it's for a single event or multiple events. This article will guide you through the available import options, the required and optional data fields, and provide step-by-step instructions for importing your event and ticket data.

Notes:

  • If you're importing ticket data for a single event, you can manually create the event first and then upload your ticket sales data. For step-by-step instructions on how to manually create an event, check out this Help Center article.

  • If a contact already exists in your Audience Table and their email address matches one in your import, a duplicate contact won’t be created. Instead, their existing profile will be enriched with the new event and ticket sales data.

  • Contacts manually imported into an event are not automatically added to a list, nor are they automatically unsubscribed from existing lists. Once the ticket data has been imported, we recommend filtering for contacts who opted in and manually adding them to the appropriate list.


Import options

Create an event/s via import

If you have upcoming events without ticket sales yet, you can export the event details from your ticketing provider and import them into Audience Republic to create "shell" events. You can then import ticket sales data later as it becomes available.

Create an event/s via import and import ticket sales data (most common)

If you have an event/s with ticket sales, your ticketing provider should offer a report that includes all event and sales data in one export. You can upload this file to Audience Republic, and the system will automatically create individual events using the event names and IDs—while assigning the correct ticket sales data to each event in a single step.

Import ticket sales data into an existing event

Whether the event was created manually or through a past event import, you can easily upload ticket sales data to it at any time.

Data requirements and optional fields

Depending on the data you have and the import method you choose, different field requirements apply. For example, if you're only creating events, order details aren't required. However, if you're importing both event and ticket order data, additional fields like Order ID and Email Address become mandatory.

Below is a breakdown of the required fields for each import option, followed by a list of optional fields and an overview of custom fields.

Field Definitions*

  • Event ID - The id (usually number) of an Event associated to an Event Name (eg - Event Name: Big Party. Event ID: 01234).
    Order ID - The id of the recipient (fan) order for buying a ticket/s to that Event.
    Show ID is specific to Ticketek and will only appear if a user selects Ticketek as a ticket provider.

Optional data fields

There are several optional fields you can include in your import, such as name, mobile number, city, state, and country. Refer to the image below for a full list of optional fields.

Custom fields

If you have specific information in your ticket import that you’d like to include, you can easily create custom fields and map them to the corresponding columns during the import process. Check out this article to learn how to create and manage custom fields.


Importing events and ticket sales: a step-by-step guide

After exporting your ticketing data, we recommend reviewing our formatting guide to ensure it aligns with the import requirements.

Once your data is properly formatted, you can proceed with importing it into your Audience Republic account. Follow the step-by-step instructions below to get started.

  1. Navigate to the Events menu

  2. Click on the down arrow ˅ next to the Create event button to reveal a menu

  3. From the pop-up box, select Events only or Events and Ticket Orders (depending on your data set)

  4. Fill out the details in the pop-up, including the date format from your export, timezone, currency, and the source of the import. If your ticketing provider is not listed, simply start typing in the field to add a new option.

  5. Drag and drop the saved CSV file into the drop box, or click to browse and upload the file.

  6. Map each field to the matching column header in your CSV file and click next

  7. Once all your data is clean and there are no errors, click Import. The time to import depends on the size of your file.

  8. Once the import has been completed, you'll receive a confirmation email and the order tallies will appear in the Events menu.


Import best practices

  • To ensure a successful import into Audience Republic, your file must follow specific formatting guidelines. Refer to this article for detailed formatting requirements.

  • Make sure that the file is saved as a CSV (commas separated value) file. No other file type will be able to be imported.
