Applying Students in Bulk

Admins can apply students to a scholarship in bulk directly from the Award & Deny screen. This feature allows you to upload a list of student email addresses and automatically apply those students to the selected scholarship with an Applied status.

This feature uses the same logic as "manual apply" but runs it at scale, ensuring accuracy, validation, and consistency across all imported applicants.

How to Import Applicants

  1. Navigate to Scholarships.

  2. Select the scholarship you want to apply students to.

  3. Open the Award & Deny tab.

The Award and Deny tab with Scholarships highlighted in the left navigation menu, showing the applicants table.

  4. In the applicants table, click the kebab menu (three dots).

The applicants table with the three-dot kebab menu open over it and an arrow pointing at the kebab icon in the table header.

  5. Select Import Applicants in bulk.

The open kebab menu on the applicants table with the option to import applicants in bulk.

  6. In the pop-up window, upload a file containing student email addresses or insert emails manually.

The Apply Students in Bulk window, showing the Upload step with a drag-and-drop file area accepting .csv, .tsv, .txt, .xls, .xlsx or .xml, plus a Manually enter your data link and a Download template link.

  7. Review the loaded list of emails and click Finish.

The Review and edit step of the Apply Students in Bulk window, showing one manually-entered student email address validated with No errors, and the Finish button that applies it to the scholarship.

File Requirements

Your import file must meet the following requirements:

  • The file must contain only one column:

    • Student Email

  • Each row should contain a single student’s email address.

  • The maximum upload size is 10,000 records per file.

Validation Rules

  • Each email must match an existing student account in AwardSpring.

  • Email addresses must be unique within the uploaded file.

  • Students who are already applied to the scholarship cannot be re-applied.
