Who this is for: Kno2 administrators only.
Before you start, you'll need:
Admin access to your Kno2 organization
The new user's email address, first name, last name, and primary job function
Steps
Log in at kno2.prod.barti.com as an administrator.
Navigate to the Users section.
Click the + button in the upper right corner. The create user window opens.
Enter the user's email address in the User Name field. This is the address that will receive the invitation email and future Kno2 notifications.
Enter the user's First Name and Last Name.
Select a Primary Job Function. This is for internal reference only and doesn't need to be an exact match.
(Optional) Check Administrator if you want the user to be able to configure organization settings and view all message activity.
Review Send Permissions. Global Send Permissions populate automatically based on your fax number configuration and cannot be edited from this screen. Select any additional send permissions you want to grant.
Review Intake Rules. Global Intake Rules populate automatically and cannot be edited from this screen. Select any additional Intake Rules to grant the user access to receive notifications and view messages from those rules.
Click Save Changes. The user appears in the list in alphabetical order and receives an invitation email to complete their account setup. The invitation link expires after 24 hours and is single-use — do not share it. Each user requires their own invitation.
What you'll see when it works
The new user appears in the Users list. The Invitation Status column shows the status of their account setup. Once they complete the invitation, their status updates to active. When the user completes setup, they'll be prompted to create a password meeting Kno2's requirements: minimum 12 characters, including uppercase and lowercase letters, a number, and a special character.
Troubleshooting
The User Name field is flagged red.
This happens when the email address can't be used. Check the following in order:
Confirm the email address is valid and spelled correctly.
If your organization has multiple Kno2 locations in a network, the user may already have an account. Grant them access to this location from their existing account instead of creating a new one.
If neither applies, the user may have a deactivated account that needs to be re-enabled. [VERIFY: Confirm the steps to re-enable a deactivated user — is this done from Settings → Users?]
The user didn't receive their invitation email.
Ask them to check their spam or junk folder. If it's not there, confirm the email address in Settings → Users is correct. You can resend the invitation from the user's record.
