Who this is for: Kno2 administrators. Non-admin users don't receive fax notifications by default — an admin must add them to an Intake Rule.
Before you start, you'll need:
Admin access to your Kno2 organization
The users you want to notify already created in Kno2 (see How do I add users to Kno2?)
How Intake Rules work
Intake Rules control which users can see and receive email notifications about incoming faxes. Without an Intake Rule, non-admin users won't see faxes in their My Intake or receive any notifications.
Admins receive notifications for unassigned messages by default. All other users must be added to a rule.
Create a new Intake Rule
Log in at kno2.prod.barti.com as an administrator.
Go to Settings → Intake Rules.
Give the rule a name that describes the messages it covers — for example, Faxes.
Select the Kno2 Message radio button for the Rule Type (this covers incoming faxes and Direct messages).
Leave the External "From" Address or Fax Number field blank unless you want the rule to apply only to messages from a specific sender.
Under Assign this rule to, choose one of the following:
Global Rule — grants all active users (current and future) permission to receive notifications and view messages covered by this rule.
Specify a list of users — grants only the users you select access to this rule.
Click the blue disk icon to save.
Edit an existing Intake Rule
Every Kno2 organization starts with a default rule called To Records (Sample), which assigns messages sent to your default Kno2 Direct address to the Kno2 admin. You can edit this rule or any other existing rule.
Go to Settings → Intake Rules.
In the Message Rules list on the right, click the rule you want to edit and select Edit. The rule populates in the center pane.
Update the name, From address filter, or user assignment as needed.
Click the blue disk icon to save.
What you'll see when it works
Users added to the rule will start receiving email notifications when new faxes arrive. Faxes covered by the rule will appear in their My Intake.
Troubleshooting
A user says they still aren't getting notifications after I added them to a rule.
Confirm they completed their Kno2 account setup via the invitation email. Users with a pending invitation status won't receive notifications. Also check that the rule was saved (the blue disk icon must be clicked).
I want a rule that only applies to faxes from a specific sender.
Enter the sender's fax number in the External "From" Address or Fax Number field when creating or editing the rule.
