Who this is for: All Barti users who schedule patient appointments.
Steps
1. Start a new appointment
You can create an appointment from three places:
Patient's profile — open the profile and click New Appointment.
Calendar — button — click New Appointment in the calendar.
Calendar — time slot — click directly on an empty time slot on the calendar.
All three open the same appointment form.
2. Fill in the appointment details
Field | Notes |
Patient | Search for an existing patient or create a new one. |
Appointment Type | The duration updates automatically to your default time for that type. |
Status | Set the appointment status (e.g., Unconfirmed, Confirmed). |
Staff / Provider | Select the correct staff member. This removes the time slot from their online availability. |
Location | Update if you are a multi-location practice. |
Date & Time | Set the date and time for the appointment. |
Duration | Adjustable — override the default duration if needed. |
Notes | Add any appointment-specific notes. |
3. Save the appointment
Click Save. The appointment appears on the calendar and, if a staff member was selected, the slot is removed from online availability.
What you'll see when it works
The appointment appears on the calendar in the color associated with its appointment type. The assigned staff member's online availability no longer shows that time slot as open.
Troubleshooting
Patients are still able to book the time slot I just scheduled.
This happens when no staff member is selected on the appointment. Selecting the correct staff member is what removes the slot from online availability. Open the appointment, assign the correct staff member, and save.
