Inventory: tracking supplies and automatic restocking

Property stock, Central stock and Bank Accounts, how an item's reorder thresholds work, and how a low report from the field becomes a restock task.

What Inventory is for

The Inventory tab under Operations keeps consumables stocked without anyone having to remember. Staff report what is running low as part of finishing a task, and Besty turns those reports into ordering work.

It has three sub-tabs, and they do quite different jobs:

  • Property stock, what each home should carry

  • Central stock, your warehouse catalogue

  • Bank Accounts, expense categories for owner statements

Property stock

Group items under a type, for example Bathroom Supplies, then add the individual items inside it.

Two controls sit at the type level. Assign properties decides which homes carry that type, so a studio and a six-bedroom house do not have to track the same list. The Restock tasks toggle has Besty create an order task automatically when something runs low.

How a tracked item works

Each item has a handful of fields, and together they drive the whole restock loop:

  • Unit, how it is counted: rolls, bottles, sets.

  • Style, either Number for a numeric count or Level for Low and Empty. Number is right when you want a hard threshold. Level is quicker for staff in the field, and quicker usually means more reliably done.

  • Order at or below, the reorder point. When a report hits this, the item is flagged low.

  • Restock to, the target quantity to bring it back up to.

  • Create task to order, which turns a low report into an ordering task automatically.

  • Ordering notes, such as a supplier link, pack size or preferred brand, shown to whoever actually places the order.

Fill in ordering notes even when they feel obvious. They are read by whoever is doing the ordering, who is often not the person who set the item up.

The loop, end to end

At the end of a task, staff report each item, either as a number or as Low or Empty. Anything at or below its reorder point is flagged.

Besty then creates a single restock task listing everything that needs ordering, rather than one task per item. That is the detail that makes this usable: a person gets one job with a list, not fifteen separate jobs.

A Stock by property chart shows what was last reported where, which is how you spot the home that quietly consumes twice as much as the others.

Central stock

Central stock is your priced warehouse catalogue: the master list of supplies with their costs, which you can mark up for owner billing. It is the source you draw from when restocking properties.

Bank Accounts

Bank Accounts are labels used to categorise inventory and expense line items on owner statements.

Match these names to the accounts in your PMS. If they differ, the numbers still work but reconciliation becomes a manual mapping exercise every month, which is a tedious thing to inherit from a five-minute naming decision.
