Setting up Besty Operations from scratch

The full walkthrough, in the order you should actually do it: templates, then automations, then assignments, then per-property detail, scheduling, users, inventory and payments.

How Besty Operations works

Besty Operations replaces your work-order tool. Everything runs on three building blocks, and getting these right makes the rest follow:

  1. Task Templates, reusable checklists such as a departure clean, an arrival inspection or a maintenance task.

  2. Automations, the rules deciding when a template becomes a real task, for example create a departure clean on every check-out.

  3. Assignments, who the task goes to, set in bulk by property and department.

Two supporting pieces make a task usable in the field: Listing Data, the wifi, codes and notes a cleaner sees while working, and Listing Ready Status, the rule that flips a property to ready for the next guest.

Besty does not push or pull work orders from your PMS. It becomes the single source of truth for operations, and you export labour at month end, or pay through Besty directly if you prefer.

Where everything lives

Almost all of this is under Operations in the sidebar, which opens a tab bar: Tasks, Listings, Schedule, Availability, Configuration, Exports, Payments, Inventory, Owner Statements and Analytics. User accounts and permissions are separate, under Settings, then User Management.

Setup happens mostly in Configuration, which has its own sub-tabs: Departments, Task Templates, Task Automations, Requirement Templates, Bulk Assignments and Listing Ready Status.

Step 1: Build your task templates

Go to Configuration, then Task Templates, and click Create Template. The common three are a Departure Clean, an Arrival Inspection and recurring Maintenance.

On the left of the builder you set the basics: name and optional description, department, priority, and a Default Due Time, for example all cleans due at 4:00 PM.

Leave Estimated Duration blank for cleans. It is only worth setting for fixed maintenance work. Once a property has been cleaned a few times, Besty estimates how long it takes there from its own history, which is more accurate than a guess and adjusts per property.

Step 1b: Add the checklist

On the right side of the template, build the requirements. Add Category groups items, for example Kitchen, Bathroom, Arrival and Climate, and Add Requirement adds steps inside them.

Each requirement has a type: To-Do List, Text or Text Area for a written answer such as "describe any damage", Number for a rating or count, Select or Multi-select, Date, and Attachment for a file or photo.

Three options are worth knowing on any requirement:

  • Add a reference photo so the cleaner can see what "done" looks like, for example a properly made bed. This removes far more back and forth than written instructions do.

  • Required or Optional. Optional items do not block task completion.

  • Attachment: Required forces a live photo before the step can be completed.

Step 1c: Line items for labour and supplies

The Line Items tab inside a template is where costs attach, with Add Labor for what the job pays and Add Supply for consumables.

You can set a default here, but most operators set pay per property instead, because the same template pays different amounts at different homes. That is covered in step 3b.

Step 2: Automate your templates

A template does nothing until an automation schedules it. Go to Configuration, then Task Automations, then Create Automation.

Pick a trigger type:

  • Reservation, firing around check-in and check-out. This is the classic: a departure clean on check-out, an arrival inspection on check-in. You can target same-day turns specifically, or schedule a set number of days or hours before the event.

  • Listing Occupied or Listing Vacant, firing after a property has been occupied or empty for a set time.

  • Repeating, a recurring schedule such as a monthly filter change, an annual gutter clean, or a fortnightly reminder to pay the team.

Then set Conditions such as stay type, guest count or stay length, which is how you make a special automation for owner stays. Set Lookahead Days, how far ahead tasks are created, usually 30 to 90 so your task list does not clog. Then Applies To for listings, and finally which templates to attach.

Step 3: Customise per property

Open Listings, choose a property, then Settings. Three tabs matter for operations.

Requirements adds steps that apply only to this home, either By Department, added to every task of that department here, or By Task Template. This is how you keep one shared clean template while still having "Clean Bedroom 1" tailored per property, rather than maintaining fifty near-identical templates.

Step 3b: Per-property pay

Under Settings, then Accounting, click Add Template to set what a template pays at this property, for example a standard clean at a set rate paid to a named person.

You choose whether it processes through Besty Payments or is simply tracked for a month-end export.

Step 3c: Listing Data, what the cleaner sees

Under Settings, then Data, add anything you want surfaced in the app while someone is working at that property: wifi, cleaner access code, alarm or lockbox codes, trash days, and where backup supplies live.

It works at three levels and Besty stacks them together on the task, each labelled with where it came from:

  • This listing only, for codes and notes unique to the home

  • All Listings, for anything true everywhere, such as "backup supplies live in the garage"

  • Listing Set, for a group of homes

Template variables work here, so codes and wifi details can be pulled in rather than typed and left to go stale.

Departments

Under Configuration, then Departments, four built-ins cannot be deleted: Cleaning, Maintenance, Inspection and Guest Services. You can add subdepartments under them, or create your own department such as Landscaping or Payroll.

Assign work in bulk

Configuration, then Bulk Assignments, is how tasks get an owner automatically. Click Add Config and define a listing scope, a category, and an assignment.

Read a config as one sentence: for this listing scope, tasks in this category go to these people. The assignee can be an individual or a cleaning company.

Skip this page and tasks are created unassigned, leaving you to dispatch every one by hand.

Control when a listing is Ready

Configuration, then Listing Ready Status, decides when Besty flags a home ready for the next guest.

  • All Tasks, the default, requires every task due before check-in to be done. A stray "replace AC filter" can hold up readiness, so most operators do not leave this on.

  • Custom lets you define the criteria, for example ready when the inspection is complete, or when all high-priority tasks are done.

Depending on your PMS you may also see an option to defer to your PMS's own ready status. It is not present on every account.

This status also powers same-day early check-in offers, so a home can be sold an early arrival the moment operations marks it ready. Keeping task status current is protecting revenue, not just tidying a list.

Scheduling and Smart Assign

Schedule, then User Schedule, shows each person's week and how full their days are. Switch to Day view to drag tasks between people.

Smart Assign distributes unassigned tasks automatically, and it is worth knowing what it weighs: driving distance, how often that person has cleaned that particular home, their review history there, turnover windows, and workload balance. Pick the people and the templates, and it spreads the work.

Listing Schedule is the property tape chart. Week view shows tasks and guests per home, and clicking a guest jumps to the reservation. Month view rolls the day up, for example "Friday: 7 cleans, 5 check-ins, 6 same-day turns", which is the view for spotting a difficult day before it arrives.

Add users and scope permissions

Settings, then User Management. Add someone with their email, name and phone, and send the invite. Each row has a Permissions chevron.

Start from a preset role, Admin, Operations Manager, Operations Staff or Receptionist, then fine-tune the scoping across listings, users and departments, and the individual page grants. Edit Tasks is the grant that lets someone assign work, which is easy to miss when a manager cannot dispatch.

The Tasks page and saved views

Tasks is the master list. Filter by due date, department, listing, assignee or tags, then Save View to keep that filter, for example "Next 2 weeks, Cleaning". Share a view and it is one click for the whole team.

The mobile app

Cleaners and inspectors work from the Besty mobile app. Have them visit app.getbesty.ai/mobile to download it. There is a demo mode you can preview without logging in.

The app is intentionally minimal. A scoped cleaner sees My Tasks and My Payments, opens a task, works the checklist and submits required photos. Team push notifications also come through the app, so anyone expecting push needs it installed.

Inventory and restocking

The Inventory tab keeps consumables stocked without anyone having to remember. It has three sub-tabs: Property stock, what each home should carry, Central stock, your warehouse catalogue, and Bank Accounts, expense categories for owner statements.

In Property stock, group items under a type such as Bathroom Supplies, then add items inside it. Assign properties controls which homes carry that type, and the Restock tasks toggle has Besty create an order task automatically when something runs low.

Each item has fields that drive the whole loop:

  • Unit, how it is counted, such as rolls, bottles or sets

  • Style, either Number for a numeric count or Level for Low and Empty. Number suits a hard threshold; Level is quicker for staff in the field

  • Order at or below, the reorder point

  • Restock to, the target quantity

  • Create task to order, which spawns a restock task from a low report

  • Ordering notes, such as a supplier link, pack size or preferred brand, shown to whoever places the order

Staff report each item at the end of a task, as a number or as Low or Empty. Besty then creates a single restock task listing everything that needs ordering, rather than one task per item, and a Stock by property chart shows what was last reported where.

Central stock is your priced warehouse catalogue, the master list of supplies with costs, which you can mark up for owner billing. Bank Accounts are labels categorising inventory and expense line items on owner statements, and they should match the account names in your PMS so the numbers reconcile cleanly.

Payments and the month-end export

Payments rolls up labour and supply costs, with Overview, Payments, Expenses, Rates, Settings and User Status. There are two ways to run it.

Track only, which is the most common: set pay per property, then export at month end to see exactly who is owed what, and create the bills in your accounting system or PMS.

Pay through Besty: connect a payment method under Settings and choose Automatic on completion, Manual approval of each, or Batched. Upsells such as early and late check-in can also process here.
