Give your bookkeeper or team access to Reports

See who can open Reports, why a team member lands on the Dashboard, and which role to give them.

Reports and the accounting CSV are only for the account owner and team Admins. Assistants can't open them. This article explains who sees what, how to give a bookkeeper access, and what to check when Reports is missing.

Admins can also open some account settings, such as Payments. Only you, the account owner, can invite or remove team members and change their roles.

Give your bookkeeper access

If your bookkeeper is already on your team as an Assistant, change their role to Admin:

  1. From your profile menu, open Team Members.

  2. Open the menu beside the person and choose Change role.

  3. Choose Admin, then select Change role.

The change takes effect right away, and we email them to say their role changed. If they have Beventi open, they'll see Reports after refreshing the page.

If they aren't on your team yet, select Invite on the same page, enter their Email Address, choose the Admin card under Select Role, then select Send Invitation. Once they accept and switch to your account, they can open Reports and use Export.

Note: Admin gives wide access to your account, not Reports alone. Admins can view and manage financials, orders and products, and open some account settings, such as Payments. There is no role that includes Reports and nothing else.

What Assistants can and can't see

Assistants help with day-to-day work on orders and products. They can't open Reports or download the accounting CSV. The Reports item is hidden from their sidebar, and opening a Reports link takes them to the Dashboard with no message.

Assistants still see some money figures elsewhere in your account:

  • The Net Sales card on the Dashboard.

  • The Net Sales, Shipping Total, Discount and Refunded tiles on each order form's Overview.

  • The Net Amount column in your wholesale listing's orders export.

No role hides all money, so a team member who helps with orders will still see these totals.

If Reports is missing or sends you to the Dashboard

If you're on someone's team, including as an Admin, and Reports won't open, check these two things first:

  1. Check which account you're in. Open your profile menu and make sure you've switched to the owner's team, not your own account.

  2. Check your role. While you're in your own account, open the account switcher in your profile menu: it shows your role, Admin or Assistant, under the owner's account. Only Admins can open Reports, and the account owner can change your role at any time.

Switch to the owner's team from your profile menu.

What your team sees in Reports

  • The same orders and figures as the owner, for the dates and filters each person chooses.

  • The same fiscal year start. It's saved once for the whole account, so a change by the owner or an Admin changes it for everyone.

  • Dates follow each person's own device timezone, so an order placed near midnight can fall on a different day for someone in another timezone.

FAQ

Our bookkeeper is on our team but can't open Reports or download the report. Which role do they need?

Admin. Reports and the accounting CSV are only for the account owner and Admins. If your bookkeeper joined as an Assistant, change their role to Admin in Team Members.

Can I give someone access to Reports and nothing else?

No. Reports comes with the Admin role, which also includes financials, orders, products and some account settings.

Can I change a team member from Assistant to Admin?

Yes, if you're the account owner. From your profile menu, open Team Members, open the menu beside the person, choose Change role, pick Admin and select Change role. You can change an Admin back to Assistant the same way.

Can I add staff to help fulfill orders without them seeing our sales revenue?

Invite them as an Assistant. They can manage orders and products but can't open Reports or download the accounting CSV. They will still see the Dashboard's Net Sales card and the money tiles on each order form's Overview.

What does "Your team role does not include access to financial reports." mean?

It means your team role doesn't include Reports. Only the account owner and Admins can open it, so this usually means you joined as an Assistant. Ask the account owner to change your role to Admin.

Does my team see the same figures and fiscal year that I do?

Yes. Everyone sees the same orders and the same fiscal year start. Each person picks their own dates and filters, and dates follow each person's device timezone.
