What's New at Billy: A Look at Everything We've Been Building

Meet Billy's new and improved AI Review Assistant chat:

The AI Review Assistant is Billy's built-in AI that reads and translates insurance documents (including those lovely 35 page full policies we all love) into accessible insights to help inform your document review so your team doesn't have to do it manually, line by line.

  • Ask it anything. The AI can now answer free-form questions about a document. Think: "Does this policy cover completed operations?" Ask away!:)

  • Endorsements are part of the review. Insurance endorsements added to your requirements are now fed directly into the AI's document index, so it actually checks for them.

  • Chatbot-style interface. The review experience is getting a cleaner, chat-based UI that makes it feel more intuitive and conversational.

Why it matters: Manual COI review is one of the most time-consuming, error-prone tasks in risk management where even the smallest mistake can create a huge financial impact. This feature is designed to dramatically cut that burden, catching issues faster, being more consistent, to help you give vendors clear, actionable feedback instead of vague rejections.


Pre-Qualification Form: Custom Pre-Qualification, Your Way (Coming soon!)

The Billy engineering team has been working on a fully built-in form builder that lets partners create custom pre-qualification questionnaires from scratch.

Here's what to expect:

  • Sections and structure. Organize your form into named sections, just like a real form.

  • All the question types you need. Text, phone number, email, date, dollar amounts, and more.

  • Conditional logic. Questions can show or hide based on how a vendor answers previous ones. No more irrelevant questions cluttering the form.

  • Map answers to vendor fields. Form responses can automatically populate fields in the Billy Vendor Directory. No manual data entry, the data just flows in.

  • Preview before you publish. See exactly what vendors will experience before the form goes live.

  • It plugs into the upload portal. The pre-qual form can be embedded directly into the vendor upload experience, with a static, shareable URL that's easy to send out.

  • Built for annual re-evaluation. The forms are designed to be reused year over year, so you can re-verify vendors on a recurring basis, not just at onboarding.

Why it matters: Pre-qualification is the backbone of vendor risk management. A bad hire can mean liability, project delays, or worse. This tool gives general contractors and risk managers the ability to build thorough, intelligent intake processes and automatically feed that data into compliance tracking.


Vendor Directory: Now a Real Source of Truth

The Billy Vendor Directory has gotten a serious upgrade. It's no longer just a list. It's becoming a central data hub for everything you need to know about your vendors.

  • New pre-qualification fields. Vendors now have dedicated fields for pre-qualification data, including NAICS codes (industry classification), trade types, and more. These fields are designed to auto-populate from vendor-managed profiles via API, so the data stays current without anyone having to maintain it manually.

  • Smarter search. Search the directory by project name or project number. Fast, flexible filtering.

  • Sorting actions. Sort your vendor list the way you want it.

  • Improved CSV export. Exports now include trade type, address, and phone number, giving you more data for better reporting.

  • Address type-ahead search. Start typing an address and Billy auto-suggests it. Clean, fast, no typos.

  • Frozen projects are grayed out. A simple but meaningful change: projects that are frozen now visually stand out in the directory list so nothing gets confused with active work.

  • Compliance widget update. The compliance widget now clearly flags excluded vendors, so you know at a glance who's in and who's out.

Why it matters: For general contractors managing dozens or thousands of subcontractors, having a single, reliable source of vendor data is everything. These updates make the directory smarter, more connected, and far more useful as a day-to-day tool.


Vendor Upload Portal: A Clearer Experience for Everyone

The vendor upload portal is what your subs and vendors actually interact with, so making it smooth and clear matters a lot to our team here at Billy.

  • Full-screen upload experience. The document upload interface now goes full-screen with a large, intuitive drop zone. Less fumbling, more confidence.

  • Smarter error messages. The portal now only shows errors for fields that are actually missing or rejected. No more noisy, confusing validation messages for things that are fine.

  • Vendors see exactly what was rejected. When a document is reviewed and items are flagged, vendors now see the specific rejected items and the notes explaining why. No more guessing.

  • Umbrella and excess liability. The system now accepts both "umbrella" and "excess liability" as valid policy types, eliminating a common point of friction for vendors.

  • Duplicate document prevention. The system now prevents users from accidentally adding duplicate required documents and alerts them if a requirement has been archived.

  • Reviewed and rejected requirements are visible. Vendors can now clearly see the status of everything they've submitted, what's been reviewed, what's been accepted, and what needs attention.

Why it matters: When vendors have a confusing upload experience, you get more back-and-forth, more resubmissions, and slower project starts. These improvements make the process cleaner for vendors and reduce the administrative burden on your team.


Compliance and Requirement Groups: Smarter Controls

Requirement groups, the sets of insurance and compliance rules you apply to vendors and projects, have gotten more flexible and easy to use.

  • Standard users can now view requirement groups without being able to edit, copy, or create new ones. More visibility for the people who need it, without opening the door to accidental changes.

  • Searchable Requirement Groups: Users can now search a requirement group to see all of their contracts using a specific set of requirements.

  • Smarter default setup for new teams. New teams no longer need to manually configure policy options and endorsements from scratch. The system now encodes that information directly into requirements using "claims type" and "limit applies" options.

Why it matters: Risk and compliance programs aren't one-size-fits-all. These updates give risk managers and compliance teams the flexibility to set rules that actually reflect how their business operates, and connect Billy to the systems they're already using.


Integration Updates/Releases

Microsoft Entra ID Integration:

For enterprise customers and any general contractors using Microsoft SSO login, Billy now supports Microsoft account sign-in for specific customer domains. Teams can log in using their existing company Microsoft credentials, no separate password to remember, no extra account to manage. Viewpoint Vista Integration:

Billy now has an initial integration with Viewpoint Vista, syncing compliance data between the two platforms. This is a major step toward eliminating duplicate data entry for contractors already using Vista for accounting and project management.
