Sending bulk email messages from BirdEase is an important way to notify potential and existing registrants about your event. To create an email blast, navigate to Message Center and then Messages.
Creating an Email Blast/Message:
Click Create New Message button.
Fill in the Message Content tab.
There are two inputs on the Message Content tab.
Message Subject
This is the subject of the email.
Message Content
This is the body of the email.
Utilize the Insert Variables button to personalize the email.
Once Message Content is filled out, send a test to yourself to verify that everything looks good in an email.
Navigate to the Recipients tab under the Message Content tab.
Add the recipients/emails to whom you want this message to be sent to.
There are multiple ways to add recipients:
Add entering a First Name, Last Name and Email address and clicking Add Email.
The other options are all under the Import Items dropdown.
Upload CSV Document
The document must be have the headers "First Name", "Last Name", "Email".
Email List
Email lists can built in the Message Center. These are good so they can reused between messages.
Previous Message
If you already sent out a message and want to send a follow up to the same people.
Registrations/Participants/Auction
If you want to email all registrants/participants/auction winners from any one of your events.
Navigate to the Send & Track tab under the Recipients tab.
Click the Send Message button.
This will automatically save the message before sending.
You can come back to Send & Track tab of this message to view deliverability stats.
Message Content Editor Guide
Using Variables: Use the dropdowns above the message box to automatically pull personalized details into your email.
Event Variables: Insert specific details like the Event Name, Location, Date, or the Link to the Registration Page.
Recipient Variables: Insert the recipient's First Name or Last Name.
Tip: You can also use the Insert Variable dropdown on the far right of the Subject line.
Adding Content Blocks: Click inside the message content box and select the plus (+) icon on the right side to add:
Text or Headings
Images
Ordered (numbered) or Unordered (bulleted) lists
Formatting Text: Highlight any text you have written to bring up the floating formatting toolbar. From here, you can change: Bold, Italics, or Underline styles and Text color
For security reasons, custom URLs cannot be manually entered into BirdEase emails. However, you can easily direct recipients to your event by using our built-in system variables (such as the Registration Page or Event Homepage tags) or by inserting your downloadable Event QR Code as an image. If you must include an external, non-BirdEase URL, we recommend exporting your contact list and sending the message through your own email client or a third-party service.
