Assigning Jobs

Easily send the right jobs to the right technicians.

Updated over 2 months ago

A Job in Boatyard represents any task a technician is responsible for completing. Most Jobs are linked directly to a line item on an order, but Jobs can also be created independently when needed.

Jobs are can be created in the dashboard by a team member or created by technicians through the Boatyard Pro App.

When you assign a job, your technicians are notified in the Pro App.

Contractors receive a web link to view and manage their jobs.

This article will help you with the following:

Assigning a Job

First, navigate to the order that you would like to assign to a technician. Next, scroll down to the 'Jobs' section on the right side of the order detail screen.

Click on the 'Create Job' button.

In the pop-up box, you can give the job a title and select which tech you wish to send the job to.

Click here to learn how to add a new tech to the dashboard.

You have complete control over what information is sent to the tech. Simply toggle the section on or off.

The sections include:

  • Notes - Send a note about the order to the contractor

  • Customer Info - The customer's name and contact information

  • Boat Info - The Name, make, model, and length of the boat

  • Location - The address of the location of the boat

You can also add attachments to the job, such as photos of the work needed.

Once you are happy with the information in the job, you can click on 'Send' and that will assign the job to your tech.

You will receive an email notification when they accept or decline the job.

If you have multiple jobs on an order, you can create as many jobs as you need to on each order.

Assigning a Job from a Line Item

If you have multiple items on your order, it is simple to create jobs for each one.

First, go to the order that you would like to use to assign jobs to technicians. Next, click on the three dots at the end of the line item in the order, and then click on Create Job.

This will open the Create Job pop-up window and pre-fill the job name and description based on the information that is in the line item.

And that's it! You can now assign this job to the technician of your choice!

Sometimes, you might have multiple technicians working on the same job. Rather than creating separate jobs for each, you can assign the same job to multiple technicians.

Assigning multiple technicians when creating the job or from the Job Detail screen is easy.

A New Job

When you create a new job, you can select more than one technician's name to assign it to as many technicians as necessary.

An Existing Job

When you view the Job Detail screen, you can click on the ASSIGNEE name in the top right corner, select the technicians you would like to assign the job to, and click SAVE.

Limitations for Jobs with Multiple Assignees

When a job assigned to multiple technicians is scheduled, the event in the Scheduler behaves slightly differently from other jobs.

  • All the technicians need to be scheduled for the same day. Currently, you cannot schedule a shared job on different days for each technician. When you reschedule the job for one technician, it will reschedule it for all the assignees.

  • If you try to drag the job to a technician already assigned, you will get an error message.

  • When adding time, notes, and photos or rescheduling a multi-tech job, there might be a slight delay (1 or 2 seconds); please be patient while the software updates the jobs for all the technicians.
