Automatically Forwarding Emails in Outlook

Set up an Outlook rule to automatically forward Boatyard notification emails to your colleagues.

There are times when you might want your colleagues to know about notifications you've received for an order in Boatyard.

An example of this is automatically letting your AR person know when an invoice has been paid.


Creating a Rule in Outlook to Forward Emails

To begin, click on the "Settings" cog in the top right corner of Outlook.

Next, click on "View all Outlook settings".

Then, click on "Rules".

Click on Rules

Next, "click on Add new rule"

To create the rule, first, add a rule name

Next, click on "Select a condition and then select the "From" condition.

Next, select a the "From" condition

Type in captain@boatyard.com or marinemax@boatyard.com, as this is the email address our notifications always come from.

marinemax@boatyard.com is used for notifications sent to MarineMax team members. All other companies should use captain@boatyard.com.

Type in <a href="mailto:marinemax@boatyard.com" target="_blank" rel="nofollow noopener noreferrer">marinemax@boatyard.com</a>

Then, click on "And..." to select another condition.

Then, click on "And..." to select another condition

Click on "Subject includes".

Type in part of the subject line of the type of email you would like to forward.

For example, for the email that notifies you when an invoice is paid, type "paid an invoice".

Next, click on "Select an action" and then click on "Forward to"

Then, enter the email address of the person you wish to receive the forwarded email.

You can add multiple people to this rule.

Then enter the email address of the person you wish to receive the forwarded email.

Lastly, click on Save.

Now whenever you received an email from marinemax@boatyard.com, that includes the words "paid an invoice" in the subject, it will automatically be forwarded to the email address(es) you entered.

Lastly, click on Save

Our Notification Email Subject Lines

Below are a list of the notification emails that you are likely to receive from Boatyard and what you should use as the "Subject includes" condition when creating your rule in Outlook.

You will need to create separate rules for each type of email notification.

  • When a customer accepts a quote, use - has accepted a quote

  • When a customer declines a quote, use - has declined a quote

  • When a customer pays an invoice, use - paid an invoice

  • When a customer sends you a message, use - You have received a message

  • When a customer adds their credit card information, use - added a credit card

  • When a contractor (tech or sublet) accepts a job, use - has accepted a job

  • When a contractor (tech or sublet) declines a job, use - has declined a job

  • When a contractor (tech or sublet) adds a note, use - has added a note to a job

  • When a contractor (tech or sublet) adds a media file, use - has added media to a job

  • When a contractor (tech or sublet) changes the status of a job, use - has updated the status of a job
