Zapier: BoomTown Action Templates
Zapier: BoomTown Action Templates
Updated over a year ago

Below is a list of pre-formulated templates within Zapier for common Zaps with apps that translate well with BoomTown Actions! The details for each setup are included in the links below:

BoomTown Action Zap Templates

Before getting started, make sure you're logged into your Zapier account through the Zapier website directly, or by navigating to your image & name in the upper right corner of your BoomTown account, and selecting the Integrations option from the drop-down menu.

On the Integrations page, scroll down to the Zapier option, and select the Log In button. You'll be directed to a sign in page on Zapier, where you can enter the login credentials to access your account and continue setting up your Zap!

Calendly Actions

If you use Calendly, and you'd like to connect it to your BoomTown account -- so that each time an invitee is created in Calendly, it automatically creates a lead in your BoomTown account -- this can be done through one of our pre-formulated Zap templates in Zapier!

Choose Calendly Template

Once logged in, navigate to the app search field in the top menu bar, clicking to activate the search option.

Then type in "BoomTown" and select the match that displays in the results.

On the BoomTown app page where you're redirected, scroll down to the Connect BoomTown! to 1,000+ Apps section, and search for "Calendly," then select the Connect button to the right-hand side of the option.

Set Up Calendly Trigger

On the page you're taken to, you can select the trigger for Calendly. In this case, it will be Invitee Created. Then select, Continue.

You'll then need to connect your Calendly account to the Zap, by choosing the Connect an Account button on the following page.

A pop-up will display where you'll need to enter an API key from your Calendly account.

This can be found within Calendly (as long as you have a Premium or Pro plan), by navigating to the Integrations option in your right-hand drop-down menu, selecting Zapier, and then selecting the Go to Setup button. Once you have the API key from this page, paste it in the field in the pop-up in Zapier, and choose Yes, Continue.

Once you've done so, your account will display as connected in Zapier. You can select the Test button to check the connection between Zapier and your Calendly account. When you've done this, select Save + Continue.

Next, you'll need to populate a sample invitee from Calendly, in order to set up the Zap. Select the Pull In Samples button to get started with this.

Zapier will begin processing, and as long as you have at least one invitee in your Calendly account, results should then display automatically.

You can use the down arrow button next to each invitee to expand it for more details -- then select the radio button next to the preferred one, and choose the Continue button to proceed.

Set Up Zapier Formatter Action

Next, you'll need to utilize the Zapier Formatter tool as an intermediary between Calendly and BoomTown.

This is because Calendly includes the lead's name in one field, and BoomTown requires a First Name and Last Name field separately in order to function. This step splits the data into separate fields.

The template should provide Text. Ensure this is selected, and choose to Continue.

On the following page, in the Transform field, select Split Text.

In the Input field, select the Invitee Name entry from the Calendly sample.

Finally, in the Segment Index field, select All (as Separate Fields) then, choose the button to Continue.

You'll then need to test the information, by selecting the option to Test, and waiting for the success message. Once you receive it, you can proceed by clicking Continue.

Set Up BoomTown Action

Next, you'll need to select the action that you'd like the Calendly invitee trigger to prompt within BoomTown. The template should provide one choice, for Create Lead. Ensure this is selected, and choose to Continue.

Just like with the trigger, you'll need to connect your account for the BoomTown action, by selecting Connect an Account.

Make sure you're logged into your BoomTown account within the browser you're using before selecting to connect the account!

A pop-up will display, and Zapier will recognize the account you're signed into BoomTown with, then ask for a confirmation of the connection -- by selecting Continue.

Once connected, you'll see your information listed on the page in Zapier. Choose the button to Test the connection, then select Save + Continue.

On the following page, set up the way in which you want the details for your leads to feed into BoomTown -- by mapping the fields from your Calendly example up to the fields within BoomTown.

This is done by selecting the choice in each drop-down menu for the applicable field.

You can elect to complete as many of the optional fields as you'd like, but below are some that are encouraged and/or required.

To view more of the fields, select the Show advanced options above the Refresh Fields button at the bottom of the page.

First Name (Required)

This is what you'd like Zapier to pick up for the First Name for leads coming in from Calendly.

For the First Name field, you'll need to select the Text option in the drop-down, as this will allow you to choose from the fields that were separated by the Formatter -- instead of the combined Full Name from Calendly.

Last Name (Required)

This is what you'd like Zapier to pick up for the Last Name for leads coming in from Calendly.

For the Last Name field, you'll need to select the Text option in the drop-down, as this will allow you to choose from the fields that were separated by the Formatter -- instead of the combined Full Name from Calendly.

Source (Required)

Denotes which lead source you'd like all leads that come in through this Zap to be added to BoomTown with. You can use the search bar within this field to narrow your results, and note that it can take a moment to load!

Import Type (Required)

For this field, select Api Import from the drop-down.

Buyer Assignment (Required**)

This allows you to select to assign a specific Agent from your team, yourself (CurrentUser), or AutoAssign (which will assign the lead based on the team's rotation) for the lead's Buyer Agent when created through the Zap.

This field also dictates the lead's type -- so if you select just a Buyer Assignment, the lead will be a Buyer lead. If you select a Buyer Assignment and Seller Assignment, the lead will be a Buyer/Seller lead.
**You will need to select EITHER a Buyer Assignment or Seller Assignment for your Zap, in order to save it!

Buyer Category (Required)

Indicates the lead's category for the Buyer Agent (if applicable) when added to BoomTown.

Seller Assignment (Required**)

This allows you to select to assign a specific Agent from your team, yourself (CurrentUser), or AutoAssign (which will assign the lead based on the team's rotation) for the lead's Listing Agent when created through the Zap.

This field also dictates the lead's type -- so if you select just a Seller Assignment, the lead will be a Seller lead. If you select a Buyer Assignment and Seller Assignment, the lead will be a Buyer/Seller lead.
**You will need to select EITHER a Buyer Assignment or Seller Assignment for your Zap, in order to save it!

Seller Category (Required)

Indicates the lead's category for the Listing Agent (if applicable) when added to BoomTown.

Lender Assignment

Email Address

This is what you'd like Zapier to pick up for the email address for leads coming in from Calendly.

Gives you the choice of having the leads that come in through the Zap sent the Standard Welcome Email, the Buyer Registration Email, or the Seller Registration Email.

You can also leave this field blank to omit sending a welcome email to the lead at the time they come in through the Zap.

Once you've selected the fields for your Zap, choose to Continue. On the next page, you'll see a summary of the choices, and you'll be able to send a test to BoomTown with the information you selected. To do so, select the Send Test to BoomTown! button.

If the test is successful, Zapier will process for a few seconds, and then alert you about the success toward the top of the page.

You can then select the Finish button to complete the set up.

On the following page, you'll be prompted to turn on the Zap for automatic use moving forward.

Make sure the toggle is green for the selection, and then in the future when you receive a new invitee in your Calendly account, it should be automatically added to your BoomTown account through Zapier!

Lead Information in BoomTown

When leads come through to your BoomTown account through the Zap you created, they will be listed with the source you selected, and the entry in their lead profile will detail that they came in through a BoomTown API Import.

The way that the Zapier integration is designed, leads are able to be added through a Zap, but there's not currently a way to append information to the profile for an existing lead in the system. Due to this, if a lead is sent to BoomTown through a Zap, that has an email address matching one already existing in your team's BoomTown account, the Zap will not successfully send the information to BoomTown.

Constant Contact Actions

If you use Constant Contact, and you'd like to connect it to your BoomTown account -- so that each time a new subscriber is added to your Constant Contact account, it automatically creates a lead in your BoomTown account -- this can be done through one of our pre-formulated Zap templates in Zapier!

Once you've done so, your account will display as connected in Zapier. You can select the Test button to check the connection between Zapier and your Constant Contact account. Once you've done this, select Save + Continue.

Next, you'll need to populate a sample subscriber entry from Constant Contact, in order to set up the Zap. Select the Pull In Samples button to get started with this.

Zapier will begin processing, and as long as you have at least one subscriber in your Constant Contact account, results should then display automatically.

You can use the down arrow button next to each subscriber to expand it for more details -- then select the radio button next to the preferred one, and choose the Continue button to proceed.

Google Contacts Actions

If you use Google Contacts, and you'd like to connect it to your BoomTown account -- so that each time a new contact is created in Google Contacts, it creates a lead in your BoomTown account -- this can be done through one of our pre-formulated Zap templates in Zapier!

Choose Google Contacts Template

Once logged in, navigate to the app search field in the top menu bar, clicking to activate the search option.

Then type in "BoomTown" and select the match that displays in the results.

On the BoomTown app page where you're redirected, scroll down to the Connect BoomTown! to 1,000+ Apps section, and search for "Google Contacts," then select the Connect button to the right-hand side of the option.

Set Up Google Contacts Trigger

On the page you're taken to, you can select the trigger for Google Contacts. In this case, it will be New or Updated Contact. Then select, Continue.

You'll then need to connect your Google Contacts account to the Zap, by choosing the Connect an Account button on the following page.

A pop-up will display where you can enter your login credentials to log into your Google account-- if you're not already. You'll then be asked to select a button to Allow Zapier to access information in your Google account.

Once you've done so, your account will display as connected in Zapier. You can select the Test button to check the connection between Zapier and your Google account. Once you've done this, select Save + Continue.

Next, you'll want to select a sample contact from Google in order to set up the Zap. Select the Pull In Samples button to get started with this.

Zapier will begin processing, and as long as you have at least one Google Contact within your account, results should then display automatically.

You can use the down arrow button next to each contact to expand them for more details -- then select the radio button next to the preferred one, and choose the Continue button to proceed.

Set Up BoomTown Action

Just like with the trigger, you'll need to connect your account for the BoomTown action, by selecting Connect an Account.

Make sure you're logged into your BoomTown account within the browser you're using before selecting to connect the account!

Once you've done so, your account will display as connected in Zapier. You can select the Test button to check the connection between Zapier and your MailChimp account. Once you've done this, select Save + Continue.

Next, you'll want to select a subscriber list from MailChimp to pull in lead entries from into BoomTown. In the List drop-down, select the list from MailChimp that you'd like to watch for subscribers. Once you've selected one, choose the option to Continue.

You'll then need to populate a sample subscriber from the selected list, in order to set up the Zap. Select the Pull In Samples button to get started with this.

Zapier will begin processing, and as long as you have at least one subscriber for the selected list within your MailChimp account, results should then display automatically.

You can use the down arrow button next to each subscriber to expand it for more details -- then select the radio button next to the preferred one, and choose the Continue button to proceed.

Set Up BoomTown Action

Next, you'll need to select the action that you'd like the MailChimp subscriber trigger to prompt within BoomTown.

On the following page, set up the way in which you want the details for your leads to feed into BoomTown -- by mapping the fields from your MailChimp subscriber example up to the fields within BoomTown.

This is done by selecting the choice in each drop-down menu for the applicable field.
