Intro
Automatically import your leads from other online sources into your BoomTown account using the Auto-Import Leads feature.
This integration means you no longer have to spend time manually adding leads from one system to another. Instead, you can spend time working all of your leads from one centralized location -- your BoomTown CRM!
How Does Auto-Import Work?
For most sources, when a new lead registers, requests more information, or schedules a showing on a supported site, an email notification is sent to you.
When you have the Auto-Import emailing forwarding feature set up for your account, that email notification you receive will be forwarded to BoomTown so that the system can automatically import the lead to your account. For more details about getting this process set up for all sources except Zillow and Trulia, view our article here (set up email forwarding article)!
For Zillow and Trulia leads specifically, the set up process will be a bit different, but leads will still be imported automatically into your BoomTown account when they're received through Zillow or Trulia. Access Your Unique (parsing) Email Address
To get started with setting up filtering and forwarding for Auto-Import, within your BoomTown account navigate to the left-hand menu bar, select TOOLS, and then select Auto-Import Leads.
Don't see the Auto-Import Leads option listed? Please reach out to your Broker/Admin to have the feature enabled!
On the Auto-Import Leads page, scroll down to the Supported Lead Sources section, and select the blue button for Get Started.
Your unique BoomTown email address will display.
Highlight the unique email address and copy it to your clipboard by holding down the Ctrl and C keys on your keyboard (for PC users), or the Command and C keys (for Mac users).
This address will later be pasted into your Gmail account to create filters for the forwarding. For the next steps in the process, click here.
Set Up Email Forwarding
If you'd like to get Auto-Importing set up (for sources except Zillow and Trulia, which will instead be set up through these steps), you will need to set up filtering and forwarding within the Gmail account where your new lead email notifications are sent.
This will need to be a Gmail account, as they are the only email client that supports the necessary filtering and forwarding configuration for Auto-Importing.
If your new lead notifications are not currently being sent to a Gmail account, there are two options:
Login to your account with the outside source and set notifications to be sent to a Gmail address
Login to the non-Gmail email account your new lead emails are currently being sent to and set them up to forward to a Gmail address

Once you have your new lead notifications coming into a Gmail account, you will need to setup filtering and forwarding.
In BoomTown
The first step to getting your email forwarding set up is to copy your unique BoomTown email address, found within the Auto-Import Leads page of your account.

Set Up Forwarding in Gmail
1) Login to your Gmail account.
2) Click on the settings gear icon in the top right corner.
3) In the drop-down that displays, select Settings.
4) Next, click on the Forwarding and POP/IMAP tab.
5) Then click the "Add a forwarding address" button.
6) In the pop-up that displays, paste your unique BoomTown email address into the provided field and click Next.
This is the email address you copied from under the Auto-Import Leads tab in your BoomTown account.
7) In the next window, select Proceed to request that a confirmation code is sent to you to complete the set up process.
8) 8) Within a few minutes, a confirmation link will be sent to the email address you are setting up email forwarding in:
9) Once you get that email, you'll want to click on the Confirm button. You should then see a pop-up indicating that the email forwarding was successful.
10) Go back into your Gmail Settings, and navigate back to the Forwarding and POP/IMAP page. Make sure to leave Disable Forwarding selected -- this should be selected by default, so it may already be selected.
Set Up Filter in Gmail
1) Once you've set up forwarding, you'll need to set a filter to start forwarding only the emails from supported sources to BoomTown.
2) Click on the Filters tab in your Gmail settings (to the left of the Forwarding and POP/IMAP tab)
3) Select Create a new filter.
4) In the pop up that displays, you'll need to enter the email address(es) for each of the specific lead sources you'd like to have import, into the From field.
5) If you're using more than one lead source, or a source with more than one email address according to our list, the email addresses need to be separated by OR in the From field (see below).
e.g. - leadsource1@address.com OR leadsource1@address.com OR leadsource1@address.com
6) Below is an example of the correct format using some popular sources -- Realtor, Zapier and Wufoo -- but for a complete list of the email addresses by source to build your filter, please click here.

7) Select Create filter with this search.
8) On the next screen that displays, check the box beside Forward it to.
9) From the drop-down menu, select your email address that ends in "@MyBoomTownLeads.Me."
DO NOT check the box beside "Also apply filter to matching conversations"
10) Select Create Filter to add this filter to your filter list.
Set Up Subject Filter
Some supported sources do not send new lead notification emails from a universal email address.
These sources will need to be filtered by email subject, rather than who the email comes from. The sources that require this subject filter are:
Home Value Leads
eWebEngine
RealGeeks

In BoomTown
The first step to getting your email subject filtering set up is to copy your unique BoomTown email address, found within the Auto-Import Leads page of your account.

Set Up Subject Filtering
1) Click on the Filters tab in your Gmail Settings (to the left of the Forwarding and POP/IMAP tab).
2) Select Create a new filter.
3) In the pop up that displays, you'll want to enter the email subjects below in the Subject field. To do this, highlight all of the subjects below, copy them, then paste them into the Subject field.
"Home Value Leads" OR "HouseHunt" OR "e Web Engine Lead"
If you're also using RealGeeks, you'll need to add "OR "(your RealGeeks website domain without www)" to the end of the list below!
4) Select Create filter with this search.
5) On the next screen that displays, check the box beside, Forward it to.
6) From the drop-down menu, select your email address that ends in "@MyBoomTownLeads.com" and then hit Create Filter to add this filter to your filter list.
DO NOT check the box beside "Also apply filter to matching conversations"
Set Up Zillow Tech Connect
If you have an account with Zillow or Trulia, and leads that you'd like to Auto-Import from these sources into BoomTown, you have access to the Zillow Tech Connect feature to do so!
This feature allows you to funnel all of your new leads that sign up on Zillow & Trulia into BoomTown automatically.
If you have previously set up email forwarding filters in a Gmail account to Auto-Import your leads from Zillow or Trulia, you will need to ensure you remove the Zillow & Trulia email addresses from your filter forwarding settings and ONLY use the Zillow Tech Connect feature. Steps for this removal are included toward the bottom of this article for reference!
The Team Lead account within Zillow must be connected to an API key in order for any other agent accounts to function properly.

How to Set Up Zillow Tech Connect
In your BoomTown account, navigate to your left-hand menu bar and select TOOLS, then Auto-Import Leads.
On the Auto-Import Leads page, in the BoomTown Preferred Partners area, select the white Get Started button.
This will display your unique BoomTown API Key to the left of the button.
Highlight the unique API Key and copy it to your clipboard by holding down the Ctrl and C keys on your keyboard (for PC users), or the Command and C keys (for Mac users).
Next, log in to your Zillow account to complete the set-up process.
Within Zillow, click on the Agent Hub option in the upper right, then select Account from the drop-down.
Click your image in the upper right corner, then Settings from the drop-down.
Select Connect to My CRM, and click on the Continue to Connect to My CRM link.
Select BoomTown from the Company list drop-down and paste your API key into the provided field.
Your specific BoomTown account should now be linked to Zillow, and you should be set to receive those leads from Zillow & Trulia automatically moving forward!
How to Use Zillow Lead Routing Rules or Concierge for Incoming Leads
If you utilize a lead routing or concierge option within Zillow, and as a Broker/Admin user in BoomTown you'd like leads to be assigned to your Agents so that they match the assignment in Zillow, this can be done as well!
To do so:
1. Each and every Agent or Broker/Admin user that should be receiving leads must add their unique API key from BoomTown into their Zillow account (according to the instructions above).
2. Each Broker/Admin user that would like to receive Zillow-assigned leads to their own BoomTown account needs to ensure that the Settings drop-downs for lead rotation on the Auto-Import Leads page are each set to Myself (pictured below).
How to Remove Zillow & Trulia Email Forwarding Filters
In addition to setting up Zillow Tech Connect, you'll want to be sure to disable your email forwarding set up for Zillow & Trulia leads in your outside Gmail account. Steps for completing this are as follows:
Log in to your Gmail account, click on the gear icon in the top right, and select Settings.
Click on the Filters and Blocked Addresses tab along the top of the page.
Find the filter that is set to forward to your @MyBoomTownLeads.Me address and click the Edit link
In the From field, delete any mention of the emails below:
If this field only consists of these four emails, click the Cancel button to head back to the list of filters, and select delete to the right of this filter to remove it.
How to Update Your Forwarding Email
If your BoomTown website undergoes a domain change, you will have to update the unique BoomTown email address you have your third-party new lead emails forwarding to within your Gmail account.
Not updating your unique BoomTown email address will prevent your third-party leads from auto-importing into BoomTown!
Get Your New Unique Email
1) In your BoomTown account, navigate to the left-hand menu bar, select TOOLS, and then select Auto-Import Leads
2) Scroll down to the Supported Lead Sources section, and select the blue Get Started button
3) Highlight the unique email address and copy it to your clipboard by holding down the Ctrl and C keys on your keyboard (for PC users), or the Command and C keys (for Mac users). You will need this email in the next few steps!
Adjusting Gmail Settings
1) Login to your Gmail account.
2) Click on the settings gear icon in the top right corner.
3) In the drop-down that displays, select Settings.
4) Next, click on the Forwarding and POP/IMAP tab.
5) Then click the Add a forwarding address button.
6) Paste your unique BoomTown email address (the one you copied from your BoomTown account!) into the pop-up that displays and click Next.
7) In the next window, select Proceed to request that a confirmation code is sent to you to complete the set up process.
8) Within a few minutes, you will receive an email to your inbox with the confirmation code with the subject, "Gmail Forwarding Confirmation Code" from no-reply@boomtownroi.com.
9) Copy the code then go back into your settings to paste the code into the provided field and click the Verify button to complete that step.
10) In the pop-up, select OK.
11) Next step is to jump over to the Filters and Blocked Addresses tab to edit your filter
12) Find the filter you have setup for third-party leads to forward to your previous unique BoomTown email and click Edit
13) In the pop-up window, click Continue
14) Click on the Forward it to drop-down and select your new unique BoomTown email address
15) Last step is to click on the Update Filter button!
Set Up Dave Ramsey ELP Leads
If you have an account with Dave Ramsey, and leads that you'd like to Auto-Import from this source into BoomTown, you can do so using your unique email address!
Once you've accessed your Auto-Import Leads page in your BoomTown account and copied your unique address, navigate to your Dave Ramsey account.
From there, select the Account button, and then Account Profile.
Navigate to the Third Party CRM Information area, and within the CRM Name drop-down menu, select BoomTown.
Next, in the CRM Email area, paste your unique email from BoomTown. Then, click Save.
The connection between your Dave Ramsey and BoomTown accounts should now be set up!
You will still need to click the link within your Dave Ramsey lead email to receive the information about the lead -- which will then be sent to BoomTown!
Add a New Source
In order for us to support a new source for Auto-Importing, we'll need the Source vendor to add Metadata formatting to their new lead emails. Below, you can click to download the Metadata documentation you would need to provide the Source vendor.

Once the Source vendor has added the Metadata formatting from the above document to their new lead emails, you'll need to begin forwarding the new lead emails from that Source to BoomTown. Some steps for this are included below, but please feel free to let our Support Team know if you have any questions!
To forward the new lead emails to your account, you'll want to add the email address the Source sends their new lead notifications from to your Gmail Filter.
If you are unsure of the email address the Source uses, find a new lead email you've previously received from that Source and copy the sender's email address from there.
Once you have the sending email address, you will then want to paste that email address into the From field of your Gmail Filter.
Then you can save the filters in Gmail!
In order to ensure that the emails are forwarded correctly, just be sure to check that the Gmail account where you added the new email address has the new lead notification emails from the source being sent to it.

Auto-Import Welcome Email
When setting up Auto-Import for leads from outside sources, as a Broker/Admin you will options to enable and disable you and your Agents' Auto-Import lead welcome emails.
This can be done by navigating to your left-hand menu bar, going to TOOLS, and choosing Auto-Import Leads.
Once on the Auto-Import Leads page, on the right-hand side there will be an option for Settings, along with two check-boxes.
In order to allow your Agents access to decide whether or not to send their own incoming Auto-Import leads a welcome email, you must check the first box to Allow users to send automated site invitations to new Auto-Imported Leads. If this is enabled on your end, your Agents will also have a checkbox in their account that they can select to allow their leads to receive the site invitation.
If you would like to enable your own incoming Auto-Import leads to receive the automated site invitation, the second box needs to be selected.
When these boxes are checked, leads that are automatically added to your BoomTown account from outsides sources through Auto-Import will receive the email below.
The email sent to your leads that come in through Auto-Import will not only alert them of their new account on your BoomTown site along with how to access it, but it will also provide information for similar properties to the property they inquired about.
We recommend always having this option set to being checked to ensure that leads receive all this important information!
Auto-Import FAQs
What email account should I set up forwarding in?
You will need to setup filtering and forwarding within a Gmail account, as they are the only email client that supports the necessary configuration for our Auto-Importing feature. If your new lead notifications from outside sources are not currently being sent to a Gmail account, you will need to create an account with Gmail and make sure those new lead notifications are being sent there.
Also note that if you're looking to import leads from Zillow or Trulia, the set up for this will not include email forwarding, and instead these steps need to be taken.
How do I add or remove a source from my forwarding settings?
In order to modify the sources you send to BoomTown (either to remove a source or to add one that is not listed above), you will need to edit your current filter in Gmail. To do this, you'll need to follow the below steps:
Click on the gear icon in the upper right corner and select Settings from the drop-down list.
Select the Filters and Blocked Addresses tab from along the top.
Click to edit your existing Filter.
In the From field, delete the email for the Source you wish to stop Auto-Importing, or add the email address for the Source you wish to begin Auto-Importing, separated with an "OR"
What happens if the lead Auto-Importing already exists in my BoomTown account?
Once you get an email from a source listed above and the email is forwarded to BoomTown, or if the lead is sent over through Zillow Tech Connect, the system will automatically recognize if the lead already exists or not. If the lead does not exist in the system, a new lead profile will be created with their contact information. If the lead does exist, the email notification that was sent to you will be added to the lead's profile. If you see a new lead email from an outside Source come through, but not a notification from BoomTown confirming that the lead Auto-Imported, search for the lead in your BoomTown account to see if they have an existing account assigned to a different Agent on your Team.
How can I tell if a lead came into BoomTown by way of the Auto-Import feature?
There will be a note at the beginning of the lead's profile History with their contact information from the initial email. This note will say New Auto-Import Lead Info, as shown in the below example. Leads that were Auto-Imported by way of email forwarding will also have the original new lead email from the Source logged right above the BoomTown Note. If the lead is from Zillow or Trulia and was therefore Auto-Imported via our Zillow Tech Connect feature, the note will include the lead's contact information along with any comments left in the form they submitted.
If I have an account under more than one BoomTown platform, will my Auto-Import email address be the same for both?
If you have multiple BoomTown accounts on different platforms, your Auto-Import email address and Tech Connect API key will not be same for each, and instead you will have a unique Auto-Import email address and API key for each account you have in BoomTown.
With this in mind, if you'd like to direct Auto-Imported leads into a new platform, you will need to update the filters in the Gmail account where Auto-Import was set up previously to reflect the specific Auto-Import email address associated with the new user account on the new platform. Alternatively, if you're importing leads from Zillow or Trulia through Zillow Tech Connect, you'll need to update your Zillow account with the API key for the new platform to have the new leads come in successfully to that account.
The email forwarding address and Zillow Tech Connect API key can both be found by logging into your account on the desired platform, navigating to the TOOLS tab in the left-hand menu bar, selecting Auto-Import Leads. Depending upon the lead sources you're Auto-Importing, next choose the blue button to Get Started next to Supported Lead Sources or BoomTown Preferred Partners (for Zillow and Trulia) to reveal your specific Auto-Import email address or Tech Connect key.
How do I change the user leads are Auto-Importing through?
In order to update the user account that Auto-Imported leads are entering the system through, the change will need to be made to the Auto-Import email address through the filters in the Gmail account. Alternatively, if you're importing leads from Zillow or Trulia through Zillow Tech Connect, you'll need to update your Zillow account with the API key for the preferred user to have new leads come in successfully to that account.
In order to locate the new Auto-Import email address or Zillow Tech Connect API key for the account that you'd like the leads to enter the system through, this can be done within the TOOLS tab of the left-hand menu bar of the account where the leads should be directed, by then selecting Auto-Import Leads. Depending upon the lead sources you're Auto-Importing, next choose the blue button to Get Started next to Supported Lead Sources or BoomTown Preferred Partners (for Zillow and Trulia) to reveal your specific Auto-Import email address or Tech Connect key (respectively).
Using the new address, you can then access the filters in the Gmail account where the Auto-Import feature was set up, and switch the previous Auto-Import email address for the new one associated with the correct user. For Tech Connect, you can access your Zillow account, switch the previous API key with the new one, and disable the old one to prevent duplication!
