The Documents library holds the agreements, upload requests, and custom forms that your camps and community ed classes ask registrants to complete. You set up each document once in the library, then add it to any camp or class.
Camps and community ed share one library. The Camps pages list what is offered to camps, and the Comm Education pages list what is offered to classes.
Note: A lock icon next to Camps or Comm Education in the left menu means that feature isn't part of your school's plan.
Open the Documents Library
Go to Events, open Camps (or Comm Education) in the left menu, and click Documents.
The Offered To column shows whether each document is offered to Camps, Comm Ed, or both.
The Documents, Questions, and Discounts tabs switch between the three parts of the library.
Add a Standard Document
Click Manage Documents -> Add Standard Document.
Check the School Year, then under Offer To, select Camps, Comm Ed, or both.
Enter a Name and choose a Category: Request, Agreement, or Non Enforced Request.
A Request requires the registrant to upload a document.
An Agreement requires the registrant to view a document you uploaded and agree to its terms or confirm they have viewed it.
If the document is a Physical Request, Concussion Form, or Health and Injury Card, select it under Standard. Otherwise, leave Not applicable selected.
Under Signature, choose Parent/Guardian or Parent/Guardian and Student.
Enter a Description, then under Upload Files, click Browse to attach your PDF.
For an agreement, upload the agreement PDF. For a request, you can upload a blank PDF form for the registrant to complete, scan, and upload.
NOTE: Every family registering for this requirement sees these files. Only upload blank forms or instructions here, never a student's completed document.
Turn on Require if the parent can't continue registration until this document is submitted.
(Optional) Under Page Setup, click Add Page for each page registrants must upload, such as "Front Page" or "Last Page." Each page name must be unique.
(Optional) Under Document Links, click Add Link to add a link to another source.
Check the Open Date and Close Date, then click Save Document.
Add a Custom Document
Click Manage Documents -> Add Custom Document.
Under Offer To, select Camps, Comm Ed, or both, then enter a Form Name.
Enter a Description, turn on Require completion if the form must be completed, and check the Open Date and Close Date.
Under Form Builder, click a field type under Add Fields to add it to the section.
Field types include Short Text, Long Text, Email, Phone, Number, Initials, Date, Time, Dropdown, Single Choice, Multiple Choice, Yes / No, File Upload, and Signature.
Click Add Section to split a long form into sections.
Click Save Custom Form.
After you save, open the custom document again to find Preview and Print at the top right.
Edit a Document
Click the edit button next to the document.
Uploaded files appear at the top of the form. Use the eye icon to view a file and the trash icon to remove it.
To change whether a document is offered to Comm Ed, edit it from the Comm Education library, and the other way around.
Make your changes, then click Save Document (or Save Custom Form).
Used By at the bottom of the form lists every camp and class that uses the document.
Note: You can't delete a document while a camp or class uses it. Remove it from each camp or class first.
Add a Library Document to a Camp or Class
Open the camp and click Registration -> Documents. For a class, click the Documents tab.
Click Add Document.
Choose the Document, select the Options it applies to, then click Save.
Library documents are listed under Library. Other documents are listed under From Registration.
Check the camp's Documents page. The document shows a From library label.
When you create a new camp or class, the wizard's Documents step offers the same library documents.
To take a document off a camp, click its edit button and click Remove Document. Documents that students already submitted are kept.
What Registrants See
During registration, the Complete Details step lists each document for the item. Families can open the uploaded files and links, then sign, upload, or fill in the form. Required documents must be done before the cart can be paid.
