This guide aims to provide you with guidance on custom permissions in Rota, Time, & Attendance, which will allow you greater flexibility within RTA and a more bespoke experience with this module.

Setting up custom permissions

To edit permissions in Rota, Time, & Attendance, head to Configure > RTA Settings > Permissions and click 'create new user permission

  • Label the permission, and select the template you'd like to use.

    • Selecting 'Employee' will only provide access to customising the 'Employee Accessibility' section. Selecting Line manager will allow you to customise all available settings.

    • Select the features you'd like employees on the new permission to have access to.

    • When you have selected the relevant choices, be sure to scroll to the bottom of the page and click 'save'.

Assigning custom permissions

To assign your newly created permission to employees, head to Rota > People > Relevant User Profile.

  • Click the pencil icon to edit the user's 'Profile Details' tile.

  • tick 'Do not sync permissions with Breathe HR'. This will allow you to adjust the user's permission level in RTA without affecting their profile in HR.

  • Select your new permission from the drop-down menu.

  • Click save.


Scenario: I want all employees to see, but not edit, the entire rota

  • To set up a permission which allows visibility of all shifts to your employees, simply follow the steps above to create a custom permission, choosing 'line manager' as the template, and select the following options in each section:

    • Section 1 - Employee Accessibility:

      • You are free to pick the choices in this section which are relevant to your organisation and align with your needs.

    • Section 2 - Line Manager Accessibility:

      • Select only the bottom option 'Can't see employees' personal information'

    • Section 3 - System Accessibility

      • In this section, select only the first two options - 'enable rota module for this user', and 'can view rotas'.
